How to communicate technical information to a non-technical audience

Any given project can have a lot of stakeholders, including senior and executive management, employees, stockholders, customers, and so on. These stakeholders are interested in your project, its current status, features and functions, and how it works.

The success or failure of your project might depend on your ability to explain to your stakeholders what the technology in question is, how it is developed and used, and why it will benefit them. It’s important that you get this information right, that you don’t gloss over problem areas, and that the expected outcomes are clear. And if you get buy-in on the project, you’ll have to keep your stakeholders educated, engaged, and up to date on project status.

This might not be as easy as it sounds, especially when you are working with people who have varying degrees of technical knowledge.

So, how do you explain technical concepts to a non-technical audience?

In this article, we will review seven tips that developers, engineers, IT workers, and other technical professionals can use to communicate their ideas more effectively. These can quickly be put into practice in almost any workplace imaginable.

Let’s get started.

1. Know your audience

Before you take any kind of approach, you should think about who your audience is. As you get to know your stakeholders, you’ll get a sense of where they have areas of expertise and the level of their technical knowledge. This way, you won’t waste time explaining stuff they already know or that doesn’t pertain to their role. Is your audience non-techies? Is it a mix of non-technial personnel and fellow technical professionals skilled in other disciplines?

In an audience with different levels of expertise, it’s a balancing act to find the right level of information that is not too simple for more technical team members and is not too complex for those who are less technical. You’ll want to be thoughtful. It’s best to not give the impression that you are oversimplifying for specific members of your audience.

2.  Be attentive to your audience throughout your presentation

Whenever you share your technical know-how with a non-technical audience, the goal is to be conversational. Even if you’ve explained the technology dozens of times and know the subject matter inside and out, the people you’re currently talking to might be hearing about it for the first time. 3. Incorporate storytelling when sharing technical information 

When you have a lot of data or information to share, take time to allow your audience to wrap their heads around your subject, avoiding the urge to cram every detail on a slide and just reading it aloud.

5. Avoid technical jargon when possible

The tech world has more than its fair share of technical jargon. Although it may be second nature for you to throw out acronyms like GCP and DBMS, certain terminology may confuse or disengage the less technically savvy members of your audience. Take some time to make sure your audience understands the context of the situation. 

If possible, avoid using jargon altogether—it’s typically more effective to say exactly what you mean instead of relying on your audience’s understanding of an acronym. And if there is no better way to say something, you might consider providing a reference guide for any technical acronyms and terms you’ll be using during your presentation or incorporating those definitions into your slides.

6. Focus on impact when explaining technical concepts

Remember, information that might be fascinating to you might not be fascinating (or relevant) to your audience.

When discussing technology, it’s more helpful to highlight what makes it a worthwhile investment rather than how it works. Let’s say, for example, that you were suggesting the adoption of new patching, suppressing, and monitoring protocols for your network. Rather than going on about the latest authentication process technologies, you might focus your discussion on how in 2022, the average cost of a data breach for U.S. businesses was $9.44 million.

Focus on the initiatives and pain points that your audience cares most about, and your interactions will have a much greater impact with executives and other non-technical employees at your organization.

7. Encourage questions

Last but not least, encourage questions throughout your presentation. You might find that some people will nod their heads but not understand what you are saying and are too embarrassed to ask questions. As you go through your presentation, pause and ask, “Are there any questions?” Create an atmosphere where stakeholders feel comfortable asking for clarification and starting conversations. 

Explaining things in simple terms is an ongoing practice

Be realistic about how much you can explain to a non-technical audience with a single presentation or interaction. You may need to conduct regular meetings to provide your organization’s non-techies with the in-depth understanding and appreciation they need.

Tech is no longer a siloed department, tucked away in their own corner of the building and hidden from the rest of the company. As IT and programming departments are moving to the front and center of business strategies, it means the developers and engineers are now faced with the task of conveying complex technical ideas to people without a technical background. 

The communication skills necessary to present knowledge-specific information to “non-techies” is growing in necessity. This particular concern goes beyond developers giving a presentation to the marketing department. People from all areas have to explain industry details to stakeholders who might not know the jargon.

For instance, this communication tactic is applicable for an entrepreneur making pitches to startup investors, a business owner explaining work to a board of directors and even an accountant relaying how company finances are forecasted to HR. 

Instead of alienating your listeners the next time you have to talk technical, use these methods to shape your discussion so it’s easy for anyone to understand. 

Understand the relevancy of information.

Before you give your presentation, go through each point you intend to make and ask yourself, “What does this give the listener?” A topic is more digestible when the audience understands how it is relevant to their lives. 

For example, fellow employees likely won’t understand the intricacies of coding changes that allowed a new payment feature to be integrated into the current system. What they will comprehend is a simple statement explaining that users will be able to request refunds more easily, alleviating stress on the accounting department. 

If a listener can’t take away something helpful from a piece of information, then it’s a sign to zoom out and focus on the bigger picture. 

Give context and impact.

Avoid getting too deep into a technical hole where no one else is tracking by focusing less on the how and more on the why . The how is the detailed, technical specifics where an average listener could get confused. The why is the broader context and impact of the information being shared. 

Think of it like reading an architect’s blueprints. Most people don’t know how to interpret all the lines, angles and numbers, so it would be a waste of time for an architect to get into the details about how they measured the spacing. What the recipient of these blueprints cares about is the context (that the remodel design will allow more people to fit in the same office space) and the impact (the company saves money by not having to lease a second building). 

Meet them where they are.

We’ve all heard the golden rule: to treat others the way you want to be treated. Well, instead of asking people to meet your standards, follow the platinum rule and adjust to their comfort zone. 

Think about where your audience is coming from before you craft your technical presentation. Do they have a collegiate background? Are they in a creative field? How much IT exposure have they had? It will help give you a home base for direction, so if you start to sway too deep into a topic, you can pull yourself back and cater to the needs of the listener. 

Use visuals.

Some concepts are just hard to explain in words. You can either spend half a meeting going over the heads of the audience as you try to describe the functional differences between your company’s iOS app and web app versions, or you can put some pictures up on the screen to easily illustrate your point. 

Consider as well that your peers will likely have various preferences in learning styles. Some might be auditory and better able to keep up with the conversation. Visual learners hearing something technical and new could find it tough to grasp the concept. Adding images and illustrations can clarify details that might otherwise be lost. 

Don’t make assumptions.

It’s difficult to predict someone’s literacy on a topic that is outside their field of expertise. Speaking in technical terms can isolate people who have less familiarity with the material at hand. Instead of throwing in specialized words, choose an easier synonym, offer a definition before someone has to ask and include analogies to illustrate topics.

In conclusion, using any one of these tips will help keep in mind the average non-technical listener. Using a few of them can elevate any industry-specific topic and make it accessible for the general population. You’ll find your conversations with coworkers in other departments flow easier as ideas are shared simply and fluidly. This can improve efficiency, as well as make people feel more integrated into the overall business direction. You might even get a few surprising “thank yous” for it.

How to Explain Technical Concepts to a Non-Technical Audience

Like it or not, techies are getting pushed out from the backroom to the front lines. Increasingly, you find yourself standing in front of non-technical audiences – customers, C-suite members, finance, cross-functional team members, and other stakeholders – expected to explain tech concepts in simple terms.

Need some help? Here are six proven strategies you can use to communicate tech concepts to a non-technical audience effectively.

Establish relevance upfront

Your audience will be much more receptive to your information if they understand how it will impact them. Sure, you want to explain the process roadmap, but it may be a good idea to begin by explaining the point of arrival.

Preparation is the key here. Do your homework beforehand to understand what will be considered relevant information by the audience, and then craft your presentation to address the what’s-in-it-for-me question upfront and early on in the interaction.

Avoid information overload

While you may have a lot of information to share, cramming every detail down the audience’s throat will not help.

Be selective and keep paring the content. Consider what is essential to the audience. Try and anticipate the questions they will ask. And then, remember to stay focused on the most important and relevant points during the discussion.

Been asked to assess one cybersecurity tool against another in a limited time? Instead of contrasting the technology that powers the tools, focus on how the tools will translate into ROI, risk mitigation, and functionality.

Tell a Story

Everyone loves a good story. So, weave one around your message. Don’t just make a presentation; take the audience on a journey. When planning each slide, see how it will push the presentation’s overall narrative forward.

Incorporate personal anecdotes, examples, and analogies to make your point. If you don’t have any personal stories that relate to the situation, research. Use relatable events to make your case.

Junk the Jargon

The abbreviated terms and domain-specific terminologies that are a second language for you are alien to your audience. You need to ditch the jargon.

Peppering the conversation with lots of technical terms may lead to audience disinterest and disengagement. Instead, try to simplify and explain concepts as much as possible.

If a lot of detail is required, and/or you are unsure about the audience’s technical expertise, distributing a jargon cheat sheet before getting into the presentation/interaction may be a good idea.

Use visuals aids

Why waste half the meeting trying to explain a point when a few pictures can illustrate the point much more quickly.

Visual content is highly effective in communicating technical processes and concepts. As per studies, 65% of people are visual learners. Therefore, visual aids are valuable for helping non-technical audiences understand technical concepts.

Do leverage diagrams, models, and other visual presentation techniques to drive home your point.

Ask for feedback, invite questions

Communication is a two-way street. Along with saying your piece, focus on the audience’s response. Do your listeners have any questions? Are they seem to be following your pace? Look out for implicit cues and seek explicit feedback as well.

Take frequent breaks to invite questions and clarify points. Be respectful of the audience’s technical knowledge limitations.

7 important nontechnical skills your candidates should have.

A degree. Software proficiency. Experts in digital technologies. A strong portfolio . Technical skills. When hiring members of a creative team, these tend to be the skills that hiring managers tend focus on – and with good reason. Though extremely important, these technical skills aren't always enough on their own; they need to be supplemented with critical non technical skills (often called “soft skills”) in order for a candidate to be well-rounded and a productive member of your team.

Here are the examples of seven important non technical skills you need to look for in your creative candidates to make sure you’ve really got the best candidate.

Soft Skill #1: Communication

It's said so often that it sounds cliché, but good communication skills actually are one of the most important traits in a candidate for any position.

Poor communication leads to missed information and misunderstanding. Not only can this result in disagreements and frustration, it also wastes everyone's time as people chase each other for details and clarification, and redo work after expectations are finally sorted out.

It's just as important to remember that exceptional communication leads to excellent work. Better ideas, more efficient approaches, effective use of time—all of these things happen when team members communicate well with one another.

It makes sense to expect your best candidates to have good communication skills. After all, a creative person's job is to communicate—they communicate messages and ideas with their words, design, art and copy. So, extending that ability to communicate effectively in a team environment just makes sense.

Soft Skill #2: Time Management

Deadlines: no one who loves doing creative work loves them, but you just can't keep the wheels rolling without them.

Deadlines keep projects from dragging on into eternity and offer that little bit of pressure that often spawns some of the best creative work. Consistently meeting deadlines shows your clients that you care about their time and can be trusted to meet their needs.

To meet your deadlines as a team, each person needs to have solid personal time management skills. You (and your project manager) don't want to be constantly chasing someone down to get them to complete their portion of the project, so the rest of the team can get to theirs.

Time management is a difficult skill to learn because it often involves breaking a lifetime of bad habits, so it's really best to hire staff who have proven that they are already capable of working with deadlines.

Don’t be afraid to ask directly what tools they use to manage their time or for a time when they missed a deadline. Hearing how they handle their current work will help them see how they’ll handle yours.

Soft Skill #3: Cooperation

Difficult projects and stressful deadlines are inevitably in business. During these stressful times, the non technical skills and expertise that a team member possesses can make or break a company culture.

Equally important, any creative who is interacting with clients at any level should be able to cooperate with external business contacts, respecting ways of doing things that are not their own to become a true partner.

To drill down for this non technical skill, ask about the most difficult person they’ve worked with and listen for their takeaways. Their view of cooperation in tough situations will help you see if they fit in your team.

Soft Skill #4: Adaptability

Part of what makes any creative person an ideal candidate is their confidence in putting forward their own unique ideas.

However, as valuable a skill as that is, there comes a time when they will have to adapt to someone else's vision. This is difficult for some people to accept, but conforming to the expectations of clients is the only way to maintain a vital business.

It's important that candidates demonstrate their flexibility before coming on board, so be sure to ask questions through the interview process about times they’ve had to deliver work in a way they didn’t personally agree with or had to work in an environment that required frequent change.

Teamwork is often a game of give and take where visions sometimes do not perfectly align. Creative candidates who possess interpersonal skills, a high emotional intelligence, and a positive attitude will thrive when the job requires patience.

Creatives without a comprehensive set of non technical skills and the necessary situation awareness may find themselves quickly overwhelmed by their job function.

An employee who displays adaptability can be your greatest asset—their flexibility will make for a better relationship and will help your business through trying times as well as improve employee retention.

Soft Skill #5: Problem Solving

In any job, problems of all kinds are sure to arise. It's inevitable.

Though you can't predict the nature of the problems you'll encounter in the future, you can prepare by hiring employees who are comfortable solving problems.

An employee who can't solve problems on their own will require you to essentially do it for them—which will be a burden on your time, your resources, and your patience.

Remember: the best opportunities and discoveries often arise from problems and someone's ability to creatively solve them.

So, when assessing candidates, look for opportunities to talk about not just the work, but the problem they solved in each example through the use of their non technical skills and problem solving skills.

While many creatives are quite organized, sometimes when you're working with creative employees, a certain amount of chaos can come with the territory.

However, there is a difference between a messy desk and an inability to answer an email on time.

Though a certain amount of controlled pandemonium is okay, your business will suffer if disorganization creeps into your project communications and timelines.

Especially since just one disorganized employee can set off a chain reaction of missed details and inefficiencies and negatively influence others on your team.

Tight deadlines are inevitable in business, and it is ideal for candidates to have some level of organization and time management skills.

You don't have to expect perfection from your staff, but a certain amount of organization is paramount to getting your ideas off the ground and keeping your clients happy.

What are non technical skills? John Salisbury

Non-technical skills are a combination of cognitive (for example, decision making) and social skills (for example, team working), which complement knowledge and technical skills and contribute to safe performance.

2 High profile air crashes with many casualties. • Looked at causes of these and other air disasters and near misses. • Realised 70 to 90 % due to crew error. • Since then extrapolated to many other high risk industries including medical teams. Similar results.

Relevance to you! • In USA estimated that 44 to 98000 people die every year because of medical mishap. • 70-90 % of these incidents are due to a failure of NTS. • Its very important! • Recognised by WHO that training needs to start at beginning of medical school. • NTS will play an increasingly important part of undergrad and postgrad assessment

Providing a Repeatable Process

Engineers who work in research & development or product development are used to following a process. Scientitsts who work in a wet lab are used to following standard operating procedures. They’re used to processes, so providing one would be welcome. This process can include elements such as speech structure, defining a clear call to action, and working backward to create a presentation that leads to the call to action. By providing a flexible process, learning and development professionals can cater to different presentation scenarios, allowing technical professionals to adapt and apply the process accordingly.

Practicing with the Process

Once a repeatable process is established, it is crucial to provide opportunities for technical professionals to practice using it. Creating a low-stakes environment where they can experiment with different presentation techniques, such as crafting alternative introductions or compelling endings, can significantly enhance their skills. Feedback from peers and mentors during these practice sessions can help them refine their delivery and build confidence. Additionally, virtual or in-person practice sessions offer technical professionals the chance to fine-tune their presentation skills and receive constructive feedback before facing high-stakes situations. L&D and functional managers can work together to create these practice sessions.

Advocating for High-Stakes Opportunities

Once technical professionals have gained proficiency in using the process and have practiced in low-stakes environments, learning and development professionals or functional managers can play a crucial role in advocating for high-stakes presentation opportunities. These opportunities could include presenting to customers, vendors, or speaking at conferences. By championing the technical professionals and promoting their use of the learned process, these advocates ensure that the technical professionals are well-prepared to deliver impactful presentations in critical situations. Building a strong support network and fostering a culture that values effective technical communication can create a pathway for growth and success for these professionals

Bridging the gap between technical professionals and non-technical audiences is essential for effective communication. Learning and development professionals, as well as functional managers, can play a vital role in this process. By providing a repeatable process, offering opportunities for practice, and advocating for high-stakes presentation opportunities, technical professionals can develop their presentation skills and confidently convey their technical knowledge to non-technical audiences.
