How to communicate technical information to a non-technical audience

Any given project can have a lot of stakeholders, including senior and executive management, employees, stockholders, customers, and so on. These stakeholders are interested in your project, its current status, features and functions, and how it works.

The success or failure of your project might depend on your ability to explain to your stakeholders what the technology in question is, how it is developed and used, and why it will benefit them. It’s important that you get this information right, that you don’t gloss over problem areas, and that the expected outcomes are clear. And if you get buy-in on the project, you’ll have to keep your stakeholders educated, engaged, and up to date on project status.

This might not be as easy as it sounds, especially when you are working with people who have varying degrees of technical knowledge.

So, how do you explain technical concepts to a non-technical audience?

In this article, we will review seven tips that developers, engineers, IT workers, and other technical professionals can use to communicate their ideas more effectively. These can quickly be put into practice in almost any workplace imaginable.

Let’s get started.

1. Know your audience

Before you take any kind of approach, you should think about who your audience is. As you get to know your stakeholders, you’ll get a sense of where they have areas of expertise and the level of their technical knowledge. This way, you won’t waste time explaining stuff they already know or that doesn’t pertain to their role. Is your audience non-techies? Is it a mix of non-technial personnel and fellow technical professionals skilled in other disciplines?

In an audience with different levels of expertise, it’s a balancing act to find the right level of information that is not too simple for more technical team members and is not too complex for those who are less technical. 6. Focus on impact when explaining technical concepts

Remember, information that might be fascinating to you might not be fascinating (or relevant) to your audience.

When discussing technology, it’s more helpful to highlight what makes it a worthwhile investment rather than how it works. Let’s say, for example, that you were suggesting the adoption of new patching, suppressing, and monitoring protocols for your network. Rather than going on about the latest authentication process technologies, you might focus your discussion on how in 2022, the average cost of a data breach for U.S. businesses was $9.44 million.

Focus on the initiatives and pain points that your audience cares most about, and your interactions will have a much greater impact with executives and other non-technical employees at your organization.

7. Encourage questions

Last but not least, encourage questions throughout your presentation. You might find that some people will nod their heads but not understand what you are saying and are too embarrassed to ask questions. As you go through your presentation, pause and ask, “Are there any questions?” Create an atmosphere where stakeholders feel comfortable asking for clarification and starting conversations. 

Explaining things in simple terms is an ongoing practice

Be realistic about how much you can explain to a non-technical audience with a single presentation or interaction. You may need to conduct regular meetings to provide your organization’s non-techies with the in-depth understanding and appreciation they need.

Tech is no longer a siloed department, tucked away in their own corner of the building and hidden from the rest of the company. As IT and programming departments are moving to the front and center of business strategies, it means the developers and engineers are now faced with the task of conveying complex technical ideas to people without a technical background. 

The communication skills necessary to present knowledge-specific information to “non-techies” is growing in necessity. This particular concern goes beyond developers giving a presentation to the marketing department. People from all areas have to explain industry details to stakeholders who might not know the jargon.

For instance, this communication tactic is applicable for an entrepreneur making pitches to startup investors, a business owner explaining work to a board of directors and even an accountant relaying how company finances are forecasted to HR. 

Instead of alienating your listeners the next time you have to talk technical, use these methods to shape your discussion so it’s easy for anyone to understand. 

Understand the relevancy of information.

Before you give your presentation, go through each point you intend to make and ask yourself, “What does this give the listener?” A topic is more digestible when the audience understands how it is relevant to their lives. 

For example, fellow employees likely won’t understand the intricacies of coding changes that allowed a new payment feature to be integrated into the current system. What they will comprehend is a simple statement explaining that users will be able to request refunds more easily, alleviating stress on the accounting department. 

If a listener can’t take away something helpful from a piece of information, then it’s a sign to zoom out and focus on the bigger picture. 

Give context and impact.

Avoid getting too deep into a technical hole where no one else is tracking by focusing less on the how and more on the why . The how is the detailed, technical specifics where an average listener could get confused. The why is the broader context and impact of the information being shared. 

Think of it like reading an architect’s blueprints. Most people don’t know how to interpret all the lines, angles and numbers, so it would be a waste of time for an architect to get into the details about how they measured the spacing. What the recipient of these blueprints cares about is the context (that the remodel design will allow more people to fit in the same office space) and the impact (the company saves money by not having to lease a second building). 

Meet them where they are.

We’ve all heard the golden rule: to treat others the way you want to be treated. Well, instead of asking people to meet your standards, follow the platinum rule and adjust to their comfort zone. 

Think about where your audience is coming from before you craft your technical presentation. Do they have a collegiate background? Are they in a creative field? How much IT exposure have they had? It will help give you a home base for direction, so if you start to sway too deep into a topic, you can pull yourself back and cater to the needs of the listener. 

Use visuals.

Some concepts are just hard to explain in words. You can either spend half a meeting going over the heads of the audience as you try to describe the functional differences between your company’s iOS app and web app versions, or you can put some pictures up on the screen to easily illustrate your point. 

Consider as well that your peers will likely have various preferences in learning styles. Some might be auditory and better able to keep up with the conversation. Visual learners hearing something technical and new could find it tough to grasp the concept. Adding images and illustrations can clarify details that might otherwise be lost. 

Don’t make assumptions.

It’s difficult to predict someone’s literacy on a topic that is outside their field of expertise. Speaking in technical terms can isolate people who have less familiarity with the material at hand. Instead of throwing in specialized words, choose an easier synonym, offer a definition before someone has to ask and include analogies to illustrate topics.

In conclusion, using any one of these tips will help keep in mind the average non-technical listener. Using a few of them can elevate any industry-specific topic and make it accessible for the general population. You’ll find your conversations with coworkers in other departments flow easier as ideas are shared simply and fluidly. This can improve efficiency, as well as make people feel more integrated into the overall business direction. You might even get a few surprising “thank yous” for it.

Like it or not, techies are getting pushed out from the backroom to the front lines. Increasingly, you find yourself standing in front of non-technical audiences – customers, C-suite members, finance, cross-functional team members, and other stakeholders – expected to explain tech concepts in simple terms.

Need some help? Here are six proven strategies you can use to communicate tech concepts to a non-technical audience effectively.

Establish relevance upfront

Your audience will be much more receptive to your information if they understand how it will impact them. Sure, you want to explain the process roadmap, but it may be a good idea to begin by explaining the point of arrival.

Preparation is the key here. Do your homework beforehand to understand what will be considered relevant information by the audience, and then craft your presentation to address the what’s-in-it-for-me question upfront and early on in the interaction.

Avoid information overload

While you may have a lot of information to share, cramming every detail down the audience’s throat will not help.

Be selective and keep paring the content. Consider what is essential to the audience. Try and anticipate the questions they will ask. And then, remember to stay focused on the most important and relevant points during the discussion.

Been asked to assess one cybersecurity tool against another in a limited time? Instead of contrasting the technology that powers the tools, focus on how the tools will translate into ROI, risk mitigation, and functionality.

Tell a Story

Everyone loves a good story. So, weave one around your message. Don’t just make a presentation; take the audience on a journey. When planning each slide, see how it will push the presentation’s overall narrative forward.

Incorporate personal anecdotes, examples, and analogies to make your point. If you don’t have any personal stories that relate to the situation, research. Use relatable events to make your case.

Junk the Jargon

The abbreviated terms and domain-specific terminologies that are a second language for you are alien to your audience. You need to ditch the jargon.

Peppering the conversation with lots of technical terms may lead to audience disinterest and disengagement. Instead, try to simplify and explain concepts as much as possible.

If a lot of detail is required, and/or you are unsure about the audience’s technical expertise, distributing a jargon cheat sheet before getting into the presentation/interaction may be a good idea.

Use visuals aids

Why waste half the meeting trying to explain a point when a few pictures can illustrate the point much more quickly.

Visual content is highly effective in communicating technical processes and concepts. As per studies, 65% of people are visual learners. Therefore, visual aids are valuable for helping non-technical audiences understand technical concepts.

Do leverage diagrams, models, and other visual presentation techniques to drive home your point.

Ask for feedback, invite questions

Communication is a two-way street. Along with saying your piece, focus on the audience’s response. Do your listeners have any questions? Are they seem to be following your pace? Look out for implicit cues and seek explicit feedback as well.

Take frequent breaks to invite questions and clarify points. Be respectful of the audience’s technical knowledge limitations.

When hiring members of a creative team, these tend to be the skills that hiring managers tend focus on – and with good reason. Though extremely important, these technical skills aren't always enough on their own; they need to be supplemented with critical non technical skills (often called “soft skills”) in order for a candidate to be well-rounded and a productive member of your team.

It's just as important to remember that exceptional communication leads to excellent work. Better ideas, more efficient approaches, effective use of time—all of these things happen when team members communicate well with one another.

To meet your deadlines as a team, each person needs to have solid personal time management skills. You (and your project manager) don't want to be constantly chasing someone down to get them to complete their portion of the project, so the rest of the team can get to theirs.

The best place to learn all life lessons is the sports field. When a child plays a game, they know qualities like endurance. It increases the fitness level of a child and boosts their thinking capabilities. In other words, sports play a significant role in building the character of a child.

Question 3. The government should take measures to stop the brain drain.

Answer: In India, the brain drains a significant cause of concern. The concerned authorities should address the causes first to stop this. One of the grounds is the lack of opportunities and interference of political leaders at every single step. The recruiting agencies should give all the skilled people the proper importance to stop them from migrating to other countries and help India from growing from a developing to a developed country.

Question 4. Elaborate your views on the relevance of the topic ” Rules are meant to be broken ” in current circumstances.

Answer: In the present scenario, with the COVID rapidly clawing its way into our society, the statement fails to hold any ground. If we stop abiding by the rules, we will only make the situation worse and difficult to survive. Wearing masks and maintaining a social distance should be our top priority. Maintaining proper hygiene and taking sanitization measures should be elaborated. We must follow the rules unless we want to invite our doom’s day.

Question 5. What are your views on the effect of the cinema on the youth?

Answer: The youth constitute a significant population of our country. The future of our country is hanging on the young generation. However, few films negatively impact the young minds, and the youth is swayed away. The kind of violence shown in the movies is not a good thing for the young audience. At the same time, some film positively influences them. Every coin has two sides. Similarly, the effect of cinema on the youth is two-fold.

Question 6. What is the need for good leaders in India?

Answer: India is potentially the next superpower. To make this possibility a reality, India is in dire need of good leaders who will lead her into becoming a superpower to whom all other countries will look up. For becoming an economic giant, she needs the guidance of educated and selfless leaders who will put her before themselves. With the help of good leaders, India will undoubtedly be the next big thing in no time.
