PowerPoint and Word are some of the most popular presentation and document processing software ever released. While these programs share some features, they are mostly targeted at different use cases and events.

In this article, we intend to quickly go through some PowerPoint and Word use cases. We will then walk you through some tips on using PowerPoint correctly.

similarities of word processing software and presentation software

When to Use Word

You might want to use Word for

  • Online meetings

When you have an online meeting, especially one for which you have an agenda, report, or document that is meant to guide or encourage discussion, Word is likely to be your best option.

Ideally, you should send the Word document to the meetings’ participants in advance. Or you can discuss short points in the document even before the actual meeting.

As a general rule, if the issues you plan to discuss in the meeting aren’t voluminous enough to be put in a document, then you do not need to create a document. You are better off laying the issues bare and discussing them right there in the meeting.

We advise you to create documents only when they are needed.

  • Policies, Procedures, and Guidelines

If you are looking to prepare policies on something (especially internal policies) or procedures (how something should be done) or any material that is supposed to guide people, then Word is a great option. Instructional materials are likely to contain screenshots, graphs, or similar images. Such items are generally presented and reproduced better in Word than PowerPoint.

  • Self-study materials

If you are looking to develop content that people will later read on their own (without you presenting or explaining things), we strongly recommend you use Word.

When to use PowerPoint

You might want to use PowerPoint for

  • Live training programs

PowerPoint does its best job when it is applied sparingly like an electronic flipchart. For example, in a material for a training course, you will do well to place the objects you want the learners or participants to discuss or analyze in PowerPoint. For instance, consider an object model or instructions on performing a fitness task.

By handouts here, we are referring to short, simple materials that contain only important points about a topic or course. Such handouts (when they are created in PowerPoint) usually serve as effective reminders and references for students or learners.

PowerPoint shines when it comes to webinars (true webinars). Ideally, you should create one slide for every point in your program. Try to focus on slides that illustrate the most important points or ideas.

How to Use PowerPoint Correctly

When using PowerPoint to create a presentation for an audience, you may want to keep these tips in mind:

  • Avoid using many words

The content in PowerPoint should help your audience remember key facts. Ideally, your audience should get all the important information you (when you speak). Therefore, your PowerPoint shouldn’t contain too many texts or written content.

  • Keep your audience in mind

When you design slides in your presentation, you have to use colors and styles that can be seen and interpreted easily. Do not add colors that can distract your audience or may your presentation unappealing.

Try to use a text that contrasts perfectly with your background so that the text stands out.

  • Use the right fonts and fonts size

If your presentation is going to contain written content, you may as well use appropriate fonts at the right size. For example, you may want to use Sans serif for texts because most people find this font easy to read on a screen.

In any case, whatever the font you choose, it should be big enough for your audience to read without them having to squint their eyes.

  • Use whitespace
  • Use images and visuals
  • Summarize statistics with charts

In this paper, critical discussions of electronic presentation software, initially focused on PowerPoint, are reviewed. The potentials and pedagogic implications of newer forms, such as Microsoft Producer, Prezi and Xerte, are then considered. Discussion turns to whether teaching technologies, including face to face formats, constrain or prompt pedagogic innovation. An argument is developed about using presentation software in a different context to construct learning objects (stand-alone online resources), to isolate the effects of the presentation software itself. Finally, non-technological issues which also affect actual use are considered, especially in teaching subject specialisms like leisure studies.

This is a descriptive cross-sectional study conducted in Najran University College of Medicine in Saudi Arabia. The aim was to find out some of the disadvantages of the PowerPoint presentations from the students’ points of views. Only undergraduate medical students were included in the study. A questionnaire was designed that includes demographic data along with other data about PowerPoint presentations. One hundred and ten students participated in this study voluntarily, data was collected and analyzed using Statistical package for Social Sciences (SPSS Program). Result showed out of the total (n=110), 95(86%) of the students believed that PowerPoint presentations have a lot of pitfalls and limitations. Approximately half of the students 57(52%) reported that the most boring factor in the presentations was the large number of slides being presented. About 60 (54%) of the students considered that dim light was the first distracting factor. Whilst 28(25%) said that the flying text or slides during changing to the next one is the most distracting factors. Whereas, 74(67%) of the group reported that twenty to thirty slides per one hour presentation is quite suitable slides number in the presentations. Additionally, 73(66%) quoted that only six bullets in one slide were a quite suitable for effective presentation. Finally, 83(75%) of the whole group stated that mixing PowerPoint with conventional method of whiteboard chalks and talks is the most effective method of teaching. The authors concluded that most of the students believed that PowerPoint presentations have a lot of limitation which can make the presentation dull and boring. Also it is concluded that the use of integrated methods of chalks and talks in association with PowerPoint presentation is the most effective and satisfying tool for the students

Despite the prevalence of PowerPoint in professional and educational presentations, surprisingly little is known about how effective such presentations are. All else being equal, are PowerPoint presentations better than purely oral presentations or those that use alternative software tools? To address this question we recreated a real-world business scenario in which individuals presented to a corporate board. Participants (playing the role of the presenter) were randomly assigned to create PowerPoint, Prezi, or oral presentations, and then actually delivered the presentation live to other participants (playing the role of corporate executives). Across two experiments and on a variety of dimensions, participants evaluated PowerPoint presentations comparably to oral presentations, but evaluated Prezi presentations more favorably than both PowerPoint and oral presentations. There was some evidence that participants who viewed different types of presentations came to different conclusi...

Computer software, or just software, is a collection of computer programs and related data that provide the instructions for telling a computer what to do and how to do it. In other words, software is a conceptual entity which is a set of computer programs, procedures, and associated documentation concerned with the operation of a data processing system. We can also say software refers to one or more computer programs and data held in the storage of the computer for some purposes. In other words software is a set of programs, procedures, algorithms and its documentation. Program software performs the function of the program it implements, either by directly providing instructions to the computer hardware or by serving as input to another piece of software. The term was coined to contrast to the old term hardware (meaning physical devices). In contrast to hardware, software is intangible, meaning it "cannot be touched". [1] Software is also sometimes used in a more narrow sense, meaning application software only. Sometimes the term includes data that has not traditionally been associated with computers, such as film, tapes, and records. [2]

Review of Armenian Studies, 2023

Sivas, one of the six provinces (Vilayat-i Sitte) important for the Armenian community living in the Ottoman State due to substantial numbers of Armenians inhabiting the region, became one of the important centers of the Armenian revolutionary movements in the Empire. The Hunchakian and Dashnaktsutiun Parties were active in the region by establishing branches, and the members of Armenian political organizations from Sivas soon came to operate outside the province as well, in a very wide geography extending to the rest of the Ottoman lands and beyond. Kaspar Nalbandian, the subject of the present study, was one of these Armenians. Making extensive use of archive documents, this study covers the pursuit of Kaspar Nalbandian, a member of the Armenian opposition to the Ottoman State, beyond the borders of the Empire. In this context, the study attempts to provide insights into the functioning of the state mechanisms on these issues, and to present the journey of an Armenian individual to offer glimpses on the Armenian movements in the era. “Der erste Eindruck, den man empfängt, wenn man einen Blick auf die hethitische Götterwelt wirft, ist Chaos. Eine unendliche Fülle von Götternamen und Göttergestalten tritt uns entgegen”. These words, which open the chapter on Hittite religion in A. Goetze’s ground-breaking book, Kleinasien, come naturally to mind as one approaches the text CTH 510, a well-known Hittite cult inventory which lists gods, cult images and festivals of a great number of provincial settlements. The panthea of those towns and villages are almost as heterogeneous a mixture as one could want: unique among the entire corpus of Hittite texts, this composition witnesses the cult of Mesopotamian gods mixed together with a plethora of local, regional, and pan-Hittite Anatolian deities. After reviewing extant manuscripts and the composition’s Sitz im Leben, an edition of CTH 510 will be presented. It is based on a new reconstruction of the tablets and on the restitution of previously unpublished portions of text. By using an innovative methodology for the inspection and manipulation of 3D-scanned tablets, this paper also aims at illustrating the potential of a computer-aided approach for the study of cuneiform sources.

Word is a word processing software that is highly compatible with almost all compatible document formats, and it is even compatible with all operations systems.

Creating documents from scratch with Word is very simple, and yet with standard formatting tools everyone is familiar with, editing documents is even easier.

On top of that, Word includes many extras that are rarely found in other word processing software, such as hundreds of document templates. Therefore, if you don’t feel like creating documents from scratch, basing your documents on pre-existing templates can save you a lot of time and work.

Combining media with text is highly possible, and viewing multiple documents simultaneously improves efficiency when working with multiple documents.

With collaboration tools, password protection for chosen documents, and automatic spell-checking tools , you can easily get your work done without worrying about accuracy .

9. Polaris Docs

Polaris Office is a combination of tools that includes Docs, a highly versatile version that’s very similar to a combination of Microsoft Word and Google Docs.

It’s a very versatile word processing software that allows you to work on your documents wherever you are.

Not only is it available as computer software, but it also has a dedicated web browser version and even the app version suitable for Android and iOS smartphones.

Collaboration is guaranteed with such versatility, and when it comes down to getting the work done, Polaris Docs supports all types of documents, including sheets, slides, and more.

Saved documents can be worked on in groups, meaning that more than one person can edit the document in real-time. And if you ever decide to collaborate on a document with someone, you can invite them with a link and keep the communication open with an integrated chat in the Polaris Docs.

Feature-wise, Polaris Docs is packed with the most standard features you would expect from a word processing software, and yet the main improvement is the way you can collaborate with others and work on the same document in real-time.

10. Writemonkey

similarities of word processing software and presentation software

If you search for a word processing document that will leave you on your own with your words and yet will hide all functionalities in a very minimalistic and simple interface, Writemonkey makes a great choice.

Writemonkey might look like a coding interface at first, but it is a stripped-down word processing software that helps you focus on your writing.

Of course, Writemonkey is also ideal for making quick edits and even reading.

This is probably one of the lightest and smallest word processing software that is very easy to install and even easier to get used to.

What’s also great is that you have full control over the interface to customize it to your needs. On top of that, you can set timed writing or even feature a visual progress bar to make your writing work feel like a breeze.

And if you ever end up missing something in Writemonkey, you can always introduce third-party upgrades to this word processing software via plugins.

While Scribus is a great fit for simple editing and personal documents, it excels at creating magazine covers, newspaper front pages, preparing the books for publishing, and even manufacturing artwork.

With many different fonts, styles, and even wrapping options, TextMaker will make all your graphics look professional and attractive yet easy to read.

similarities of word processing software and presentation software

Zoho Docs Writer is a perfect example of an online word processing software that is easy to use and easy to access. Yet, in return, you will get very reliable and advanced features you can use on any of your documents.

The writer allows you to focus on your words in a distraction-free interface, yet you can work with others in an effortless document sharing.

With the most standard features, you would expect a word processing software packed in the interface you can access via the web browser and even get unlimited versions of your document.

These versions help you compare differences and find differences after collaboration with others.

One of the most advanced yet convenient features is publishing your documents directly ( if you are a content creator ).

If not, Zoho Docs Writer can help you electronically sign documents and even fill out PDF forms (or edit PDFs) without a problem.

15. Google Docs

similarities of word processing software and presentation software

Suppose you are not a fan of standalone word processing documents or don’t consider your computer reliable enough for your work. In that case, Google Docs is one of the most reliable web-based word processing software than most others in this space that you can get your hands on.

You can easily access your documents from any device, as long as you’re signed in to your Google account, and yet you will easily get used to the functionality and features of the Docs.

On top of that, Docs is very flexible, so you can export them in many different formats just the way you can import documents. However, one thing to keep in mind is that you will need an internet connection at all times to access your documents or work on them.

Even though Microsoft Word is one of the most known word processing software globally, there is much other software that is as good and worth giving it a try.

One couldn’t do without quality word processing software, but you even get the chance to find the one that will fit your needs the most with so many choices.

Even though each one of these is similar, there are differences in the interface, functionality, and even features that the software provides.

With that being said, you can easily choose according to your needs and purpose, which I highly recommend!
