Headers and footers in PowerPoint are ideal for displaying descriptive content, such as slide numbers , author info, the date and time, and more. We'll show you how to easily insert or edit info in a header or footer in PowerPoint.

To insert headers and footers in PowerPoint, open your presentation, and then click "Insert."

In the "Text" group, click "Header and Footer."

When the window opens, you'll be in the "Slide" tab. You can select any of the following options to add them to your slides:

  • Date and time
  • Slide number

You might notice that there isn't an option for a header. This is because headers aren't actually available on slides, but there's a simple work-around for this we'll cover below.

After you make your selections, you can see in the "Preview" on the right where they'll appear on the slide.

Type the text you want to appear in the footer in the text box under "Footer." You can select the "Don't Show on Title Slide" option if you don't want PowerPoint to add the text to the title slide of your presentation.

After you have everything the way you want it, click "Apply" to add your content to the currently selected slide. We clicked "Apply to All" to add our content to all slides in our presentation.

The content now appears at the bottom of the PowerPoint presentation slides you selected.

This is difficult to see, though---let’s edit it!

There are a couple of ways you can edit headers and footers in PowerPoint. Since each slide in your PowerPoint presentation is likely different, you might only need to edit something on a single slide. If that's the case, just click the content and edit it as you would any other text in that slide.

You can edit the format of the text, too. Just click and drag your cursor over the text you want to edit to highlight it, and then use the formatting tools in the pop-up menu.

If you want to edit the footer on all of your slides, you can do so by going back to Insert > Header and Footer, but the formatting options aren't available there.

If you want to change the font size and color of the footer text on all slides, select "Slide Master" in the "Master Views" section under the "View" tab.

Then, highlight and edit the footer text in this slide. We changed our font size to 14 pt., and the color to red.

When you switch back to View > Normal, your changes will appear on all slides.

Adding a header isn’t so much of a hack, as it is just adding a new text box to the top of your slide. You can do this in the Slide Master, so it will then appear on every slide in your presentation.

To do this, navigate to View > Slide Master to open the Slide Master. Select the top slide, go to the "Text" group under the "Insert" tab, and then click "Text Box."

Click and dragging your cursor to draw a header text box in the appropriate location, and then type your text.

When you return to View > Normal, your new header box will appear at the top of each slide.

Note that you cannot add headers and footers using the mobile app on your Android, iPhone, or iPad. This wikiHow article teaches you how to add Headers and Footers in PowerPoint on Windows and Mac computers.

Quickly Adding a Header and Footer

  • Go to Insert > Header & Footer .
  • Choose your header options, like the date and text.
  • Decide whether to display slide numbers.
  • Click Apply to All .

  • If you want to create a header for your slideshow, go to View > Master and then create an image or text box on the Master so it'll show up on each slide.

I know the feeling! You try clicking, double-clicking, and everything else that you know, and you still can’t select the elements in the footer! It is really annoying, to say the least. Does that mean, you can’t edit the footer in PowerPoint? Well, you can!

To edit the footer in PowerPoint, click on the “View” tab. Then, select the “Slide Master” view. Select the “Master Slide” or the first slide. From this slide, you can add, edit or remove the footer in PowerPoint. Changes to the master slide will apply to all slides.

Some elements in the footer of a presentation are easier to edit than others. This is based on how they are placed when designing the presentation. If they are present directly on the slide, you may find it easier to edit. However, if the objects are placed using the “Slide Master”, this article will help you fix the problem!

My goal with this article is to help you understand everything you need to know about editing or adding a footer in PowerPoint.

So, let’s get started!

1. How to Change Footer Text in PowerPoint? 

As mentioned earlier, if you are unable to select the footer elements directly on the slide, you will have to go to the “ Slide Master ” view and change the footer in the “ Master Slide. ”

Don’t worry, I’ve described the complete process in a step-by-step manner below.

Step-1: Select the “Slide Master View” option

The first step of the process is to go to the “ View ” tab from the ribbon the select the “ Slide Master View ” option, which is located inside the “ Master Views ” section.

This will take you to the “ Slide Master ” view.

Step-2: Select the “Footer” in the “Master Slide”

After you have opened the “ Slide Master ” view, you will notice that the slides in the “ Slide Navigation ” bar have changed.

Here, you can edit almost all parts of the layout of the slides in your presentation. The first slide in this view, the slide that is a little bit to the left from all the other slides is the “ Master Slide ”.

In this step, you have to select the footer which will enable you to edit the text inside the “ Text Box ” of the footer.

Step-3: Edit the text

In this step, after you select the “ Text Box ” of the footer, all you have to do is to edit the text of the footer and then select anywhere outside the “ Text Box ”.

After that, click on the “ Close Master Views ” option to close the “ Slide Master ” view and you will notice that the edit in the footer has been updated to all slides.

2. How to Remove Footer from All Slides in PowerPoint? 

To remove Footers from all the slides in your PowerPoint presentation, you have to delete the footer in the “ Master Slide ” in the “ Slide Master ” view of your presentation.

Go to the “ Slide Master ” view and follow the process described in the 3 steps below.

Step-1: Open the “Slide Master” View

The first step is to open the Slide Master view in PowerPoint as we did in the previous section.

Step-2: Select the Footer in the “Master Slide”

After accessing the “ Slide Master ” view, the first thing that you have to do is to go to the “ Master Slide ” and select the “ Text Box ” of the footer.

To do that, you have to “ Left click ” once on the “ Text Box ” and the border of the text box will appear indicating that it has been selected.

Step-2: Press the “Back Space” or “Delete” keys

While keeping the “ Text Box ” of the footer in the “ Master Slide ” selected, hit the “ Back Space ” on the keyboard of your computer and the footer will be removed instantly.

Since edits on the “ Master Slides ” apply to all the slides that are following the layout, the footers from all the slides will be removed by removing them from the “ Master Slide ”.

3. How to Add Footer to All Slides in PowerPoint? 

Open the “ Slide Master ” view (as described in the previous sections) and follow the steps given below to add a footer to all slides in PowerPoint.

Step-1: Go to the “Header & Footers” option

After opening the “ Slide Master ” view, the first step is to click on the “ Header & Footer ” option which is located in the “ Text ” section of the “ Insert ” tab. This will open a pop-up window.

Step-2: Check the Footer box and type in the text

From the pop-up window, click on the box next to the “ Footer ” option and then type in the text that you want to add in all the slides as a footer inside the rectangular box below.

After that, click on the “ Apply to All ” button and the footer will be added to all the slides in your PowerPoint presentation.

4. How to Add Logo to a Footer in PowerPoint? 

To add a logo in the footer of your PowerPoint presentation, you have to insert an image in the “ Master Slide ” of your presentation.

Go to the “ Master Slide ” using the steps described earlier and follow the instructions given below.

Step-1: Open the Slide Master View

As usual, in order to make changes to the complete presentation, you will need to open the “Slide Master”.

Step-2: Insert the Logo to the Master Slide

Once you are in the “Master View”, the first step to adding an image/logo in the footer of your PowerPoint presentation is to upload the logo to your presentation. Go to the “ Insert ” tab and click on the “ Pictures ” option, which is located in the “ Images ” section.

This will open a drop-down menu. From the drop-down menu, click on “This Device.”

Step-3: Select the logo file

After you click on “ This Device ”, a new window will pop up on your screen. From that window, go to the folder on your computer which contains the logo you want to add and click on it. Then hit the “ Open ” button at the bottom right corner of the pop-up window to add it to your PowerPoint presentation.

Step-4: Format the logo and place it in the area of the footer

After adding the image to the slide, simply resize it and place it in your preferred area as a footer. This will add the logo to all the slides that are using the layout of the “ Master Slide ” in your PowerPoint presentation.

5. Can You Add Multiple Footer in a PowerPoint Presentation? 

Unfortunately, you can’t add multiple footers in your PowerPoint presentation directly. However, there is a workaround to this problem. The “ Master Slide ” in the “ Slide Master ” view is a master key to all the slides with the layout of the “ Master Slide ”.

You can use two different custom layouts to create a two-footer option. Then, when designing your presentation, simply choose the type of custom layout for the slide depending on the type of footer required.

Let me show you step by step how this can be achieved.

Step 1 – Go to the Slide Master View

As always, the first step is to go to the slide master view. By now, you should know exactly how this can be done. If you are not sure, simply scroll up and read through the first section of this article.

Step 2 – Add a Custom Layout

To add a custom layout, simply click on the “ Insert Layout ” option in the ribbon. This will add a new custom slide layout after the select layout slide.

Step 3 – Delete All Placeholders

The next thing that you want to do is to delete all the placeholders so that you are left with a blank slide.

To delete, simply click anywhere on the slide (outside the boxes), and press “Ctrl+A”. This is a shortcut to select all. Then, press the “Delete” or “Backspace” key on your keyboard.

You will now be left with a blank custom layout slide.

Step 4 – Duplicate the Blank Custom Layout Slide

Next, create a copy of this blank custom layout slide that we just created. You can do this by simply using copy and paste in PowerPoint .

Alternatively, you can also right-click on the slide, and from the options, choose “ Duplicate Layout “.

Step 5 – Create Multiple Custom Footers

Now, create the two different footers on both the custom layout slides respectively. Do so just as you would on a normal slide.

For the sake of this example, I’ve added the logo of my brand – artofpresentation.

Step 6 – Rename the Custom Layouts

Now, rename the custom layouts so that you are able to easily identify the two layouts with two different footers and exit the slide master view.

Step 7 – Selecting the Layouts

The final step of the process is in the front end.

When inserting the slide with the custom layout option, simply click on the “Home” tab . Then, click on “Layout”. From the dropdown, choose the layout with the custom footer that you want to apply.

As you can see in the image above, two different footer styles have been applied to two different slides using custom slide layouts in the slide master view.

One thing to remember is that make sure that you delete any pre-existing footer from the “Master Slide” in the slide master view.

You can also add the footer directly to a specific slide in “Normal View” . To do that, create a custom blank layout by deleting the elements as mentioned in the steps above.

Then, in “Normal View”, insert the blank custom layout, and add the elements directly to the footer of a specific slide instead of using the “Slide Master View”.

6. How to Lock Footer in PowerPoint? 

There is no direct way to lock the footer of your presentation in Microsoft PowerPoint so that other people with the PowerPoint file cannot edit it.

However, there are third-party software that can help you to do this. I would like to recommend “ OfficeOne: Shape Locker. ” It is a software that allows you to lock not only the footer in your PowerPoint presentation but also headers, shapes, objects, images, and more.

To use this software, all you have to do is download it from their website using this link and it will be automatically integrated into your PowerPoint. You will find it in the “Design” tab of your PowerPoint presentation. 

7. PowerPoint Footer Not Showing? Here’s What to Do!

Some users have complained that they can’t add a footer or the footer that they have added to their PowerPoint presentation is not showing on the slides. This may happen because there is no placeholder for a footer in the “ Master Slide ” of your PowerPoint presentation.

To add a placeholder in the “ Master Slide ” of your presentation, follow the simple steps given below.

Step-1: Select the “Master Layout” option

The first step is to “ Right Click ” on the “ Master Slide ” and select the “ Master Layout ” option which is the second to last option in the drop-down menu.

Step-2: Ensure that the “Footer” is enabled

In this last step, all you have to do is to click on the box right before the “ Footer ” option and then hit the “ OK ” button at the bottom right corner of the pop-up window.

After that a placeholder for the footer will be added to your “ Master Slide ” and you will be able to see the footer in your PowerPoint presentation.

If you want to edit the footer in handouts, select the options you intend to include, such as data and time, page number, and footer text. Additionally, you can also specify header text for handouts.

You can also include custom branding on the footer or anywhere on the slide, such as the header, to showcase your logo , company email address , and phone number.

Sometimes, you might need some fixed elements to appear in all your slides, such as the date or a text. You can insert footers in your PowerPoint presentation to further customize it, so in this Slidesgo School tutorial, we’ll teach you how to do it. 

Adding Footers

  • Open your presentation in PowerPoint.
  • Select the slide where you want to add a footer.
  • Go to the Insert tab and, in the Text group, click Header & Footer.
  • A new window will open. On the Slide tab, check the “Footer” box. There’s a text field below where you can enter the text for the footer.
  • When you’re done, there are two ways to apply the changes:
  • Apply : If you click this button, the changes will be applied to the selected slide.
  • Apply to All : If you click this button, the changes will be applied to all the slides.
  • Once you choose the desired option, your footer text will appear on your presentation.

Buttons to apply the changes

  • The text on the footer is still editable. First, go to the Home tab. To change the font, the size or the color of the text, use the options from the Font group. To change the alignment, use the settings found in the Paragraph group. To change the fill color, the outline color or to apply effects such as a shadow, use the options found in the Drawing group.
  • If you’ve applied a footer to all the slides, any adjustments made on one individual slide won’t affect the footer on the rest of the slides.
  • Open one of our templates in PowerPoint.
  • Access the master slides. To do so, on the View tab, in the Master Views group, click Slide Master.
  • Select the slide master (the first one, which acts as the parent slide), then go to the Slide Master tab and click Master Layout.
  • A dialog box will appear, where you must check “Footer”. Then click OK. A footer text box will appear at the bottom.
  • For this box to appear in all the slides, make sure you check “Footers”, located in the Master Layout group, on the Slide Master tab. This box needs to be checked for all the layout masters (please note that selecting multiple layout masters at the same time and checking this box doesn’t work as intended, since the change will be applied only to the current layout master). If you want the footer to appear only in some slides, check “Footers” only in those layout masters which the desired slides derive from.
  • Exit the Slide Master by clicking Close Master View, located on the Slide Master tab.
  • Now follow the instructions explained in the first section of the tutorial to edit the footers.

Headers and footers in PowerPoint are great for adding those important details to your presentation, whether it’s slide numbers, date and time, or other information. You can easily add a header or a footer in PowerPoint, then customize and edit it to fit your presentation better.

Why Use Headers and Footers in PowerPoint

Headers and footers appear at the top and bottom of your slides and are there to display additional information. After you insert a header or a footer, you can always edit and add more data to it. However, be careful not to overload your audience with it.

The most common use of headers and footers in PowerPoint is to help your audience follow the presentation. You can add page and slide numbers which will help you keep track of where you are when presenting the content. Plus, it’ll be easier for you to see if you’re going to finish presenting on time, or if you’re a little behind by following the page numbers. 

You can also use headers and footers to insert some of your personal information, like your brand name or some personal details that you want to be displayed in front of your colleagues. It’ll be helpful for your audience to remember your name and address you by it during the Q&A section or after you finish the presentation.

To insert headers and footers into your PowerPoint presentation, follow the steps below.

  • Open your PowerPoint presentation.
  • Select Insert .
  • Select Header and Footer .

  • In the Header and Footer window you’ll see two options: you can add headers and footers to your slides, or you can add them to your notes and handouts. Select the right tab and proceed adding your information to the headers or footers in your presentation.

When you open the Header and Footer window, you’ll see there are different types of headers and footers that you can add to your slideshow.

Under Slide , the first option is the Date and time footer that you can add to your slides. You can either have your Date and time footer update automatically , meaning that every time you open the presentation the date and time will be updated automatically. Alternatively, you can select to have it Fixed , meaning that the original date and time will stay the same, even if you open your presentation a month from now.

The second option is Slide number . This one’s self-explanatory, you can use it to display a page number either on one of your slides or on all of them.

The last option is Footer , which gives you more space to add your personal info at the bottom of your slides.

You’ll find similar options under Notes and Handouts . You can choose to add a Date and time header, a Header with your personal info, a Page number , or a Footer .

You can select whether you want to add headers and footers to all of your slides, or to a selected one. Select Apply to insert your header or footer into the selected slide, or Apply to All if you want to add it to all of your slides at once.

After you choose the type of a header or a footer that you want to add, you can check the way they’ll appear in your presentation on the right side of the Header and Footer window under Preview .

If you’re not happy with the way your headers and footers appear in your presentation, you can always edit them to suit your slideshow better.

When you want to change a header or a footer on just one of your slides, you can easily do it by selecting the text of the said header or footer. You can then edit the text as you would any other part of your PowerPoint slide. To edit the format of the text, highlight it and then use the formatting tools on top of your PowerPoint slide.

To edit headers or footers on all of your slides at once, follow the path Insert > Header and Footer and then edit the text in the Header and Footer window.

If you need to edit the format of your headers and footers on all slides, like changing the font or the size of the text, follow the path View > Master > Slide Master . Then on the left side of the screen select the top slide. Highlight the header or the footer that you want to edit and use the formatting tools on top of the PowerPoint window to change the format of the text.

To exit the Slide Master view, select View > Normal . Your changes will now appear on all of your slides.

A standard PowerPoint slide has five preset placeholders that you can individually remove or move around:

  • Title : The placeholder for the title on each slide
  • Text : The main content placeholder on each slide
  • Date : The field that displays the current date on each slide
  • Slide number : The field that displays the slide number on each slide
  • Footer : A field that displays repeated text at the bottom of each slide

Add Date, Number, and Footer

By default, placeholders for Date , Number , and Footer are preconfigured but do not appear on slides in a presentation. PowerPoint offers the possibility to turn on/off the date, number, and footer without deleting, recreating or formatting their placeholders.

To enable the date, number, or footer in the presentation, follow the next steps:

   1.   On the Insert tab, in the Text group, click Header & Footer or Date & Time or Slide Number :

   2.   In the Header and Footer dialog box, on the Slide tab, select the checkboxes for the elements that you want to use:

  • Click the Apply button to apply changes to the current slide only.
  • Click the Apply to All button to apply changes to an entire presentation.

You can set Date and time either to Update automatically or to Fixed :

You can also select the Language and a Calendar type if you plan to demonstrate this presentation to the audience in the country with an alternative calendar type.

You can put any information in that field, not only a date.

Slide Number

This placeholder shows the slide number on each slide, wherever the number placeholder appears.

By clicking the Apply and Apply to All buttons, you can display or hide page numbers for some slides.

By default, the Footer placeholder is empty. After selecting the Footer checkbox, enter the desired text in the Footer field.

Format Date, Number, and Footer

You can customize font, size, and other text attributes of Date , Number , and Footer placeholders:

  • For all slides, on the Master slide view.
  • Individually for the current slide only.

Remove Date, Number, or Footer

You don't need to remove any of these three placeholders. If you need to hide any of these placeholders, just turn them off by doing the following:

   1.   Click the appropriate button in the Text group on the Home tab.

   2.   In the Header and Footer dialog box, make the changes you need, and then click:

In Microsoft PowerPoint 2007 and newer versions, you can insert a header on notes, pages, and printed handouts. You may also add a header and footer to your slides . These elements stay at the top or bottom of each page or slide and are edited separately from the main slide area.

They may include the date and time the slides were created or published, the slide or page number, and custom text. Headers appear at the top of pages, footers appear at the bottom of slides and pages, and they can be used simultaneously.

These instructions apply to PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, PowerPoint 2010, and PowerPoint 2007.

How to add a header or footer

  • In the Ribbon , click the Insert tab.

  • In the Ribbon , click the Insert tab, and click the Header & Footer option in the Text section.
  • On the Slide tab, uncheck the box for each currently selected element.

Part 2 How to Change Footer in Powerpoint [Step-by-Step]

In PowerPoint, users can apply various changes to the footer to customize it according to their presentation needs. Here are the steps for each of these changes:

Editing the Date and Slide Numbers in the Footer

Step 1: Open your PowerPoint presentation.

Step 2: Go to "View" > "Slide Master."

Step 5: Check the "Date" and click OK

Note: You can also choose to display the slide number in a different format, such as "Slide {N} of {Total}" or "{N}/{Total}".

Step 2: Go to "Insert" > "Header & Footer."

Step 3: A Header and Footer dialog box pop-up. Check the "Footer" box and enter your text.

Step 4 : Customize options and click "Apply." , or click Apply to All to apply the changes to all slides in your presentation.

Note: Be careful not to overload the footer with too much information, as this can make it difficult to read.

Changing the Footer Font, Style, and Placement:

Step 3: Click on the footer placeholder and use the formatting tools on the Home tab to change its font, size, color, alignment, etc.

Step 5: Click "Close Master View" and exit Slide Master view.

Note : Choose a font that is easy to read and matches the style of your presentation.

Applying Footers to Specific Slides:

This action will remove the footer, and because changes to the "Master Slide" affect all slides based on that layout, the footers will be removed from all slides in the presentation.

PowerPoint footer/header logos: best practices

In the previous company I worked for, they'd always add their logo in all of a PowerPoint's pages. Cover, content page, chapter pages, everywhere. In my current one, they're fine as long as their and their clients' logos are on the first page. Is there a best pracice for this? For instance:

Do you place your logos in all of the pages, or do you just put them on the cover and make the corporate identity visible through the rest of the design?
Should they be included in all of the pages the same way?
Are there variables to account for when it comes to position?

Edit: I'm working with a business consulting company. The presentations are on research the company does, and then presents or hands to the clients.

  • I think this might get closed as too broad because of the "should we add logos" of your title. As Scott answered, we can't answer this for you since we don't really know what your project is. But I think you could edit your question and reframe it to best practices (i.e. like you say, is there a right approach to this?) For example, are there variables to account for when it comes to position? Should it be included on all pages the same way? I think that would be answerable and useful for other people too. –  curious ♦ Commented Jun 27, 2022 at 1:39

I think this is more a matter of opinion or design style overall. There aren't any real "rules" to follow. At best, there may be some commonalities viewers expect to see, similar to page numbers always in a bottom corner - they don't have to be located there, but they often are.

For me, branding on slide 1 is common, but how branding is displayed is not always universal. I have created many PPT decks where slide 1 merely shows any branding iconography, but not the full mark (no type). If this is feasible based upon the mark. One way or another, some aspect of the brand is shown on slide 1. How much is more reliant on the content of the deck.... if the cover is meant to be more "teaser" than "sales" or "information", I may minimize branding in an effort to entice.

In terms of the rest of the slide deck, yes I place branding on every single slide (actually on the master[s]) in every PPT deck I've ever created. In my work there's been very little reason to not follow this procedure.

In digital delivery files, pieces can be pulled from any deck (or PDF) and saved on their own. It's important to brand everything so in these instances a stand-alone slide still references where it came from. There's no harm in ensuring the brand is shown on every slide/page.

Consistency is favorable. Remaining consistent in placement and size with any branding helps convey a sense of stability and familiarity between slides as well as reducing any distraction and necessary visual reinterpretation between slides.

If a mark moves with every slide, the reader has to see it, then register it's just the same mark. If the mark is in the same position every slide, the reader registers it, then doesn't need to consciously re-register it for every slide. In essence, the reader gets "banner blindness" and branding doesn't become a prominent visual for much of the deck (although it's still there).

This largely depends upon the mark, the overall slide layout, and any other necessary header/footer content.

My opinion is the best place for a mark on a slide is upper left corner or lower right corner. But that's not "set in stone", so to speak.

Upper left, because it's expected, very similar to the expectation of placement on web pages. People are merely used to it being there. Lower right corner can be favorable because it's the last visual anyone will register before moving to the next slide or closing the deck entirely.

There are times were upper/lower center work better, or upper right corner. The only real constant I follow is that I, personally, will never place a brand mark in the lower left corner. It's also exceptionally rare (if ever) for me to place a mark at left/right center of a slide. For me, centering vertically on slides always "feels" out of balance. But that's my aesthetic, it may not be yours.

Again, placement is really more about the slide layouts as well as the mark itself. There aren't really any universal "rules" - other than for English readers, lower left corner is generally the least visible area in any layout.

Add a logo, company name, or header or footer text to handouts

In Handout Master view, you can add elements to the page layout for the printed handouts of your presentation such as your company logo or name.

To add header or footer text:

To get started, click View > Handout Master .

The changes you make in Handout Master view appear on all your handout pages.

On the Handout Master tab, click the header or footer box you want to edit and enter your text.

To add an image:

Open the Handout Master tab, click the Insert menu, and then click Picture > Picture from File .

Browse to the image you want and click Insert .

Drag the image to the location you want and resize it if necessary. For additional formatting options, click the Picture Format tab.

To preview your handouts:

Click File > Print .

In the Layout pop-up menu, click the layout type.
