You might associate problem-solving with the math exercises that a seven-year-old would do at school. But problem-solving isn’t just about math — it’s a crucial skill that helps everyone make better decisions in everyday life or work.
Problem-solving involves finding effective solutions to address complex challenges, in any context they may arise.
Unfortunately, structured and systematic problem-solving methods aren’t commonly taught. Instead, when solving a problem, PMs tend to rely heavily on intuition. While for simple issues this might work well, solving a complex problem with a straightforward solution is often ineffective and can even create more problems.
In this article, you’ll learn a framework for approaching problem-solving, alongside how you can improve your problem-solving skills.
When it comes to problem-solving there are seven key steps that you should follow: define the problem, disaggregate, prioritize problem branches, create an analysis plan, conduct analysis, synthesis, and communication.
Problem-solving begins with a clear understanding of the issue at hand. Without a well-defined problem statement, confusion and misunderstandings can hinder progress. It’s crucial to ensure that the problem statement is outcome-focused, specific, measurable whenever possible, and time-bound.
Additionally, aligning the problem definition with relevant stakeholders and decision-makers is essential to ensure efforts are directed towards addressing the actual problem rather than side issues.
Complex issues often require deeper analysis. Instead of tackling the entire problem at once, the next step is to break it down into smaller, more manageable components.
Various types of logic trees (also known as issue trees or decision trees) can be used to break down the problem. At each stage where new branches are created, it’s important for them to be “MECE” – mutually exclusive and collectively exhaustive. This process of breaking down continues until manageable components are identified, allowing for individual examination.
The decomposition of the problem demands looking at the problem from various perspectives. That is why collaboration within a team often yields more valuable results, as diverse viewpoints lead to a richer pool of ideas and solutions.
The next step involves prioritization. Not all branches of the problem tree have the same impact, so it’s important to understand the significance of each and focus attention on the most impactful areas. Prioritizing helps streamline efforts and minimize the time required to solve the problem.
For prioritized components, you may need to conduct in-depth analysis. Before proceeding, a work plan is created for data gathering and analysis. If work is conducted within a team, having a plan provides guidance on what needs to be achieved, who is responsible for which tasks, and the timelines involved.
Data gathering and analysis are central to the problem-solving process. It’s a good practice to set time limits for this phase to prevent excessive time spent on perfecting details. You can employ heuristics and rule-of-thumb reasoning to improve efficiency and direct efforts towards the most impactful work.
After each individual branch component has been researched, the problem isn’t solved yet. The next step is synthesizing the data logically to address the initial question. The synthesis process and the logical relationship between the individual branch results depend on the logic tree used.
The last step is communicating the story and the solution of the problem to the stakeholders and decision-makers. Clear effective communication is necessary to build trust in the solution and facilitates understanding among all parties involved. It ensures that stakeholders grasp the intricacies of the problem and the proposed solution, leading to informed decision-making.
While problem-solving has traditionally been associated with fields like engineering and science, today it has become a fundamental skill for individuals across all professions. In fact, problem-solving consistently ranks as one of the top skills required by employers.

Despite the variation in domains and contexts, the fundamental approach to solving these questions remains the same. It starts with gaining a clear understanding of the problem, followed by decomposition, conducting analysis of the decomposed branches, and synthesizing it into a result that answers the initial problem.
Let’s now explore some examples where we can apply the problem solving framework.
Problem: In the production of electronic devices, you observe an increasing number of defects. How can you reduce the error rate and improve the quality?
Before delving into analysis, you can deprioritize branches that you already have information for or ones you deem less important. For instance, while transportation delays may occur, the resulting material degradation is likely negligible. For other branches, additional research and data gathering may be necessary.
Once results are obtained, synthesis is crucial to address the core question: How can you decrease the defect rate?
While all factors listed may play a role, their significance varies. Your task is to prioritize effectively. Through data analysis, you may discover that altering the equipment would bring the most substantial positive outcome. However, executing a solution isn’t always straightforward. In prioritizing, you should consider both the potential impact and the level of effort needed for implementation.
By evaluating impact and effort, you can systematically prioritize areas for improvement, focusing on those with high impact and requiring minimal effort to address. This approach ensures efficient allocation of resources towards improvements that offer the greatest return on investment.
Problem : What should be my next job role?
When breaking down this problem, you need to consider various factors that are important for your future happiness in the role. This includes aspects like the company culture, our interest in the work itself, and the lifestyle that you can afford with the role.
However, not all factors carry the same weight for us. To make sense of the results, we can assign a weight factor to each branch. For instance, passion for the job role may have a weight factor of 1, while interest in the industry may have a weight factor of 0.5, because that is less important for you.
By applying these weights to a specific role and summing the values, you can have an estimate of how suitable that role is for you. Moreover, you can compare two roles and make an informed decision based on these weighted indicators.
This framework provides the foundation and guidance needed to effectively solve problems. However, successfully applying this framework requires the following:

The best strategy for solving a problem depends largely on the unique situation. In some cases, people are better off learning everything they can about the issue and then using factual knowledge to come up with a solution. In other instances, creativity and insight are the best options.
It is not necessary to follow problem-solving steps sequentially, It is common to skip steps or even go back through steps multiple times until the desired solution is reached.
In order to correctly solve a problem, it is often important to follow a series of steps. Researchers sometimes refer to this as the problem-solving cycle. While this cycle is portrayed sequentially, people rarely follow a rigid series of steps to find a solution.
The following steps include developing strategies and organizing knowledge.
While it may seem like an obvious step, identifying the problem is not always as simple as it sounds. In some cases, people might mistakenly identify the wrong source of a problem, which will make attempts to solve it inefficient or even useless.
Some strategies that you might use to figure out the source of a problem include :
After the problem has been identified, it is important to fully define the problem so that it can be solved. You can define a problem by operationally defining each aspect of the problem and setting goals for what aspects of the problem you will address
At this point, you should focus on figuring out which aspects of the problems are facts and which are opinions. State the problem clearly and identify the scope of the solution.
After the problem has been identified, it is time to start brainstorming potential solutions. This step usually involves generating as many ideas as possible without judging their quality. Once several possibilities have been generated, they can be evaluated and narrowed down.
The next step is to develop a strategy to solve the problem. The approach used will vary depending upon the situation and the individual's unique preferences. Common problem-solving strategies include heuristics and algorithms.
Heuristics are often best used when time is of the essence, while algorithms are a better choice when a decision needs to be as accurate as possible.
Before coming up with a solution, you need to first organize the available information. What do you know about the problem? What do you not know? The more information that is available the better prepared you will be to come up with an accurate solution.
When approaching a problem, it is important to make sure that you have all the data you need. Making a decision without adequate information can lead to biased or inaccurate results.
Of course, we don't always have unlimited money, time, and other resources to solve a problem. Before you begin to solve a problem, you need to determine how high priority it is.
If it is an important problem, it is probably worth allocating more resources to solving it. If, however, it is a fairly unimportant problem, then you do not want to spend too much of your available resources on coming up with a solution.
At this stage, it is important to consider all of the factors that might affect the problem at hand. This includes looking at the available resources, deadlines that need to be met, and any possible risks involved in each solution. After careful evaluation, a decision can be made about which solution to pursue.
After selecting a problem-solving strategy, it is time to put the plan into action and see if it works. This step might involve trying out different solutions to see which one is the most effective.
It is also important to monitor the situation after implementing a solution to ensure that the problem has been solved and that no new problems have arisen as a result of the proposed solution.
Effective problem-solvers tend to monitor their progress as they work towards a solution. If they are not making good progress toward reaching their goal, they will reevaluate their approach or look for new strategies .
After a solution has been reached, it is important to evaluate the results to determine if it is the best possible solution to the problem. This evaluation might be immediate, such as checking the results of a math problem to ensure the answer is correct, or it can be delayed, such as evaluating the success of a therapy program after several months of treatment.
Once a problem has been solved, it is important to take some time to reflect on the process that was used and evaluate the results. This will help you to improve your problem-solving skills and become more efficient at solving future problems.
It is important to remember that there are many different problem-solving processes with different steps, and this is just one example. Problem-solving in real-world situations requires a great deal of resourcefulness, flexibility, resilience, and continuous interaction with the environment.

It's important to communicate openly and honestly with your partner about what's going on. Try to see things from their perspective as well as your own. Work together to find a resolution that works for both of you. Be willing to compromise and accept that there may not be a perfect solution.
Take breaks if things are getting too heated, and come back to the problem when you feel calm and collected. Don't try to fix every problem on your own—consider asking a therapist or counselor for help and insight.
If you've tried everything and there doesn't seem to be a way to fix the problem, you may have to learn to accept it. This can be difficult, but try to focus on the positive aspects of your life and remember that every situation is temporary. Don't dwell on what's going wrong—instead, think about what's going right. Find support by talking to friends or family. Seek professional help if you're having trouble coping.

About problem solving styles.
Knowledge of style is important in education in a number of ways. It contributes to adults’ ability to work together effectively in teams and in large groups. It provides information that helps educators understand their own personal strengths and how to put them to work as effectively as possible across many tasks and challenges. It helps educators communicate more effectively with each other, but also with parents, community members, and, of course, with students. In addition to its importance for adults, style can also be important in designing and differentiating instruction.
Our approach to problem solving style (the VIEW model) represents and assesses three dimensions and six specific styles that are unique and important in understanding and guiding the efforts of individuals and groups to manage their creative problem solving and change management as effectively as possible.
The first VIEW dimension involves your preferences in two general styles for managing change and solving problems creatively. We identify this as “Orientation to Change;” its two contrasting styles are the “Explorer” and the “Developer.” Explorers thrive on and seek out novelty and original ideas (“thinking out of the box”), and they may find externally imposed procedures and structures confining and limiting to their imagination and energy. Developers are concerned with practical applications and the reality of the task, and they use their creative and critical thinking in ways that are clearly recognized by others as being helpful and valuable. They’re good at finding workable possibilities and guiding them to successful implementation. They are creative in “thinking better inside the box.”
The second dimension of VIEW, Manner of Processing describes the person’s preference for working externally (i.e., with other people throughout the process) or internally (i.e., thinking and working alone before sharing ideas with others) when managing change and solving problems.
The third dimension of VIEW describes the major emphasis the person gives to people (i.e., maintaining harmony and interpersonal relationships) or to tasks (i.e., emphasizing logical, rational, and appropriate decisions) when making decisions during problem solving or when managing change.

Problem-solving strategies are like frameworks or methodologies that help us solve tricky puzzles or problems we face in the workplace, at home, or with friends.
Imagine you have a big jigsaw puzzle. One strategy might be to start with the corner pieces. Another could be looking for pieces with the same colors.
Just like in puzzles, in real life, we use different plans or steps to find solutions to problems. These strategies help us think clearly, make good choices, and find the best answers without getting too stressed or giving up.
Knowing different problem-solving strategies is important because different types of problems often require different approaches to solve them effectively. Having a variety of strategies to choose from allows you to select the best method for the specific problem you are trying to solve.
This improves your ability to analyze issues thoroughly, develop solutions creatively, and tackle problems from multiple angles. Knowing multiple strategies also aids in overcoming roadblocks if your initial approach is not working.

Now, consider a challenge you’re dealing with. Which strategy could help you find a solution? Here we will discuss key problem strategies in detail.
This strategy involves looking back at previous similar problems you have faced and the solutions that were effective in solving them.
It is useful when you are facing a problem that is very similar to something you have already solved. The main benefit is that you don’t have to come up with a brand new solution – you already know the method that worked before will likely work again.
However, the limitation is that the current problem may have some unique aspects or differences that mean your old solution is not fully applicable.
The ideal process is to thoroughly analyze the new challenge, identify the key similarities and differences versus the past case, adapt the old solution as needed to align with the current context, and then pilot it carefully before full implementation.
An example is using the same negotiation tactics from purchasing your previous home when putting in an offer on a new house. Key terms would be adjusted but overall it can save significant time versus developing a brand new strategy.
This involves gathering a group of people together to generate as many potential solutions to a problem as possible.
It is effective when you need creative ideas to solve a complex or challenging issue. By getting input from multiple people with diverse perspectives, you increase the likelihood of finding an innovative solution.
The main limitation is that brainstorming sessions can sometimes turn into unproductive gripe sessions or discussions rather than focusing on productive ideation —so they need to be properly facilitated.
The key to an effective brainstorming session is setting some basic ground rules upfront and having an experienced facilitator guide the discussion. Rules often include encouraging wild ideas, avoiding criticism of ideas during the ideation phase, and building on others’ ideas.
For instance, a struggling startup might hold a session where ideas for turnaround plans are generated and then formalized with financials and metrics.
This technique involves envisioning that the problem has already been solved and then working step-by-step backward toward the current state.
This strategy is particularly helpful for long-term, multi-step problems. By starting from the imagined solution and identifying all the steps required to reach it, you can systematically determine the actions needed. It lets you tackle a big hairy problem through smaller, reversible steps.
A limitation is that this approach may not be possible if you cannot accurately envision the solution state to start with.
The approach helps drive logical systematic thinking for complex problem-solving, but should still be combined with creative brainstorming of alternative scenarios and solutions.
An example is planning for an event – you would imagine the successful event occurring, then determine the tasks needed the week before, two weeks before, etc. all the way back to the present.
This method, named after author Rudyard Kipling, provides a framework for thoroughly analyzing a problem before jumping into solutions.
It consists of answering six fundamental questions: What, Where, When, How, Who, and Why about the challenge. Clearly defining these core elements of the problem sets the stage for generating targeted solutions.
The Kipling method enables a deep understanding of problem parameters and root causes before solution identification. By jumping to brainstorm solutions too early, critical information can be missed or the problem is loosely defined, reducing solution quality.
Answering the six fundamental questions illuminates all angles of the issue. This takes time but pays dividends in generating optimal solutions later tuned precisely to the true underlying problem.
The limitation is that meticulously working through numerous questions before addressing solutions can slow progress.
The best approach blends structured problem decomposition techniques like the Kipling method with spurring innovative solution ideation from a diverse team.
An example is using this technique after a technical process failure – the team would systematically detail What failed, Where/When did it fail, How it failed (sequence of events), Who was involved, and Why it likely failed before exploring preventative solutions.
This technique involves attempting various potential solutions sequentially until finding one that successfully solves the problem.
Trial and error works best when facing a concrete, bounded challenge with clear solution criteria and a small number of discrete options to try. By methodically testing solutions, you can determine the faulty component.
A limitation is that it can be time-intensive if the working solution set is large.
The key is limiting the variable set first. For technical problems, this boundary is inherent and each element can be iteratively tested. But for business issues, artificial constraints may be required – setting decision rules upfront to reduce options before testing.
Furthermore, hypothesis-driven experimentation is far superior to blind trial and error – have logic for why Option A may outperform Option B.
Examples include fixing printer jams by testing different paper tray and cable configurations or resolving website errors by tweaking CSS/HTML line-by-line until the code functions properly.
Heuristics refers to applying existing problem-solving formulas or frameworks rather than addressing issues completely from scratch.
This allows leveraging established best practices rather than reinventing the wheel each time.
It is effective when facing recurrent, common challenges where proven structured approaches exist.
However, heuristics may force-fit solutions to non-standard problems.
For example, a cost-benefit analysis can be used instead of custom weighting schemes to analyze potential process improvements.

Insight is a problem-solving technique that involves waiting patiently for an unexpected “aha moment” when the solution pops into your mind.
It works well for personal challenges that require intuitive realizations over calculated logic. The unconscious mind makes connections leading to flashes of insight when relaxing or doing mundane tasks unrelated to the actual problem.
Benefits include out-of-the-box creative solutions. However, the limitations are that insights can’t be forced and may never come at all if too complex. Critical analysis is still required after initial insights.
A real-life example would be a writer struggling with how to end a novel. Despite extensive brainstorming, they feel stuck. Eventually while gardening one day, a perfect unexpected plot twist sparks an ideal conclusion. However, once written they still carefully review if the ending flows logically from the rest of the story.
This approach involves deconstructing a problem in reverse sequential order from the current undesirable outcome back to the initial root causes.
By mapping the chain of events backward, you can identify the origin of where things went wrong and establish the critical junctures for solving it moving ahead. Reverse engineering provides diagnostic clarity on multi-step problems.
However, the limitation is that it focuses heavily on autopsying the past versus innovating improved future solutions.
An example is tracing back from a server outage, through the cascade of infrastructure failures that led to it finally terminating at the initial script error that triggered the crisis. This root cause would then inform the preventative measure.
This technique defines the current problem state and the desired end goal state, then systematically identifies obstacles in the way of getting from one to the other.
By mapping the barriers or gaps, you can then develop solutions to address each one. This methodically connects the problem to solutions.
A limitation is that some obstacles may be unknown upfront and only emerge later.
For example, you can list down all the steps required for a new product launch – current state through production, marketing, sales, distribution, etc. to full launch (goal state) – to highlight where resource constraints or other blocks exist so they can be addressed.

P roblems in life can take on a variety of forms, but many of them share common characteristics that serve as cues, alerting us to the presence of a bonafide problem. The attitude that we choose to take toward the problem can serve as a powerful determinant of our ability to reduce distress and use emotional information in helpful ways. Many of the problems or chaos that we invite , create, or have thrust upon us become less intimidating and paralyzing when we take a proactive stance toward solving them. A mindfully open and alert stance can serve as a stable foundation as you begin the process of confronting the problem and moving toward a solution.
Part of the wisdom inherent in effective problem solving is discerning between solvable and unsolvable problems … and being willing to radically accept and let go of those problems which are truly out of your control. For all of the problems that you have the power to solve, remember that quite often a puzzling or painful problem is actually just a very difficult decision that is waiting to be made. It is possible that the looming “problem” in your life has taken on its imposing or frightening form due to a conscious or unconscious un willingness on your part to make a tough decision.
Before you begin the following five steps of problem solving from your base of mindfulness, allow yourself a few moments to slow down and take a some slow deep breaths. Bring your full awareness to this moment. Allow your thoughts, emotions, and sensations to naturally emerge; notice them just as they are, accept their presence, and release them with each breath that leaves your lungs. If confusing or unsettling thoughts enter into awareness, observe them with an open heart and nonjudgmental mind. Allow yourself to become disentangled from those thoughts as you notice that they are just thoughts … not “facts” or absolute truth.
Notice your emotions as they arise naturally from within. Perhaps you sense a deep-seated fear as you approach this problem. Observe this experience and direct compassion toward your fear, anxiety , or doubt. Embrace your suffering , rather than push it away. Notice what useful information is embedded within those painful disavowed experiences. Observe any physical sensations that emerge at this time, reconnecting with your body . Direct your full awareness in a nonjudgmental, accepting, and curious way toward those sensations. Perhaps there is a tightness in your throat or chest, shaking in your hands, a racing heart, or queasiness at your core.
Be kind toward yourself and notice the delicate way that your thoughts, emotions, and sensations are all coming together in a nuanced dance as you approach solving this problem. Allow wise mind to guide you, bringing together reason with emotion, as you begin to become open, reflective, and alert to the problem. When you are ready, direct your mindful awareness and focus completely to the problem you are facing. Remember that part of being mindful involves directing your full presence toward one thing at a time , so give yourself the gift of slowing down as you go through this five step process of problem solving.
R ead through the following five steps of problem solving and write down your authentic responses at each step along the way. Let go of the notion of “right” or “wrong” responses and trust yourself . As you go through these steps, make a commitment to yourself to follow through with your plan. When you take the time to move through solving a difficult problem with an open heart and awakened mind, you may begin to see that the right path out of the woods was there all along… just waiting for you to notice it and summon the courage to make the journey.
Problems cannot be solved and decisions cannot be made effectively before you have clearly and accurately identified the problem. If this step is easy for you, simply write down in simple and concise terms exactly what problem you are facing. If it seems challenging to identify the problem, try writing down some characteristics of the problem or common themes. For example, “health issues: illness, sleep, diet, mental health” or “relationship issues: conflict, loneliness, dissatisfaction.”
Once you have clearly identified and stated your current problem, take the time to engage in a bit of “ problem analysis ” to help you understand the various dimensions of the problem with greater clarity:
Once you have sufficiently identified the problem from various perspectives, you are ready to start identifying the best solutions available. Maintain a mindfully open attitude as you approach potential solutions from a place of creativity. Even if your “ideal” solution may not be realistic at this present moment, stay open to making the most out of the tools you do have to work with at this point in time. Notice if any potential solutions come to you as you reflect on your responses to the last three questions from step one, regarding what you do , what you feel , and what you truly want .
Try coming up with and writing down three possible solutions based on those responses. For example, possible solutions may be worded in some of the following ways: “Figure out better ways to respond when I feel confused or frozen by the problem,” or “Learn how to manage intense emotions more effectively when the problem occurs,” or “Deliver painful news or express authentic feelings , no matter how scary it may feel.”
As you begin to set goals that will move you closer to your desired solution , remember to describe what you do want to happen, as opposed to what you don’t want to happen. For example, instead of “I don’t want to feel sad and confused,” rephrase that as, “I do want to feel happiness and a sense of clarity.” It is easier to move toward desired goals when they are stated in positive terms. If your goals feel general or vague (e.g., “I want to feel happier”), simply notice this for now – you will develop specific strategies intended to help you realize your goals in the next step.
Remember to state your intended goal from your own point of view, taking responsibility and ownership… this is what you want to do. For example, instead of “I don’t want my friend to get angry with me so easily,” rephrase it as, “I want to learn how to develop a better relationship with my friend.” When goals are stated in these terms, you can become empowered by realizing the amount of control you have in reaching your goal, instead of depending on or wondering about the thoughts or behaviors of others.
Maintain the creative mindful attitude that you took while generating possible solutions, as you allow your heart and mind to fully open to the process of recognizing strategies that will move you closer toward your goals. As you begin the process of coming up with ideas that may or may not help you reach your goal(s), remember: (1) don’t criticize/judge your ideas, (2) allow yourself to generate lots of ideas/possibilities, (3) think creatively – allow yourself to be free of censorship, and (4) integrate and improve on ideas if needed – perhaps a few of your strategies have the potential to integrate into one amazing idea.
As you begin to create a brainstorm list of potential strategies, reflect back on your three possible solutions from the previous step. This exercise in brainstorming possible strategies involves the following steps:
Part of engaging in this process of brainstorming from a centered place of mindfulness involves giving yourself permission to take your time, slow down your mind , and allow creative and productive strategies to emerge naturally into conscious awareness. Creative, effective, and mindful problem solving allows for strategies/ideas to be borne out of your authentic self … from your innermost sense of values , intuition, and alert wisdom.
At this step in the problem solving process, you have clearly stated the problem, come up with three possible solutions (think of them as solutions A, B, & C), and at least 10 possible strategies for each. Now that you are equipped with at least 30 problem-solving strategies, you are prepared to narrow down that list as you evaluate the potential (realistic) consequences of putting them into action.
Now that you have selected the best strategy as a result of your deliberate, focused, and mindful process of problem solving, the time has come to put that strategy into action . It is time to take your carefully selected strategy and break it down into simple, specific, realistic steps that you will commit to enacting. Remember to insert different/specific words into the following example that allow you to connect this final step to the personal problem you are currently facing. A specific example of breaking down your chosen strategy into concrete steps can be found at step five of the following example.
General example of final outcome – “Five steps of effective and mindful problem solving” :
(1) Problem : “I’m at a major crossroads in my life and don’t know what to do.”
(2) Best solution – based on which of the three primary solutions generated the most effective list of strategies: “Figure out better ways to respond when I feel confused or frozen by the problem.”
(3) Best strategy – based on greatest/realistic chances of success and mindful weighing of potential consequences: “Practice mindfulness meditation , emotion regulation exercises , & interpersonal assertiveness .”
(4) Awareness of consequences – accurate recognition of short-term/long-term consequences to yourself/others based on enacting the best strategy: “ Positive : feel more centered/relaxed/in touch with my authentic experience, increased ability to effectively identify/respond to emotions in myself and others, & increased confidence in ability to take a stand and speak my true feelings with healthy assertiveness ; Negative : fears of becoming lost within the process of meditation, temporary discomfort with allowing and responding to uncomfortable emotions authentically, & potential that expressing authentic thoughts/feelings may cause short-term/long-term hurt to others.”
(5) Evaluate & break down strategy into manageable steps – consider desired actions based on chosen strategy and commit to specific steps you will take toward putting that strategy into action: “Read about simple mindfulness exercise s and set aside 20 minutes each morning/evening to practice, write out specific emotion regulation coping skills onto flashcards and practice using them when feeling calm/centered as well as during times of emotional distress, & learn about interpersonal effectiveness and assertiveness skills – actively practice clearly stating thoughts, feelings, and needs on a daily basis.”
P roblem solving becomes significantly easier and less intimidating when you take a proactive approach toward solving the problem and become mindfully attuned with your authentic inner experience (focusing less on what others may think, want, or do as you determine what you are feeling). Give yourself the opportunity go through this type of deliberate, thoughtful, and wise process of reaching healthy resolutions to your problems.
Remember that even when taking a mindful approach, problems aren’t always solved in the first, second, or even third attempts. This is because there are so many unknowns inherent within life’s mysteries and the only person’s behaviors you can ultimately control are your own. If your initial attempts at problem solving go awry, choose to reframe that perceived failure as a learning opportunity and a valuable chance to do things differently next time. The sooner you start taking active steps toward solving problems and recognize what works and what doesn’t work… the sooner you can shed the heavy robes of indecision and emotional paralysis and begin to live your most authentic life.

Problem solving is a critical skill for success in business – in fact it’s often what you are hired and paid to do. This article explains the five problem solving steps and provides strategies on how to execute each one.
Before we talk about the stages of problem solving, it’s important to have a definition of what it is. Let’s look at the two roots of problem solving — problems and solutions.
Problem – a state of desire for reaching a definite goal from a present condition [1] Solution – the management of a problem in a way that successfully meets the goals set for treating it

One important call-out is the importance of having a goal. As defined above, the solution may not completely solve problem, but it does meet the goals you establish for treating it–you may not be able to completely resolve the problem (end world hunger), but you can have a goal to help it (reduce the number of starving children by 10%).
With that understanding of problem solving, let’s talk about the steps that can get you there. The five problem solving steps are shown in the chart below:
However this chart as is a little misleading. Not all problems follow these steps linearly, especially for very challenging problems. Instead, you’ll likely move back and forth between the steps as you continue to work on the problem, as shown below:
Let’s explore of these steps in more detail, understanding what it is and the inputs and outputs of each phase.
aka What are you trying to solve? In addition to getting clear on what the problem is, defining the problem also establishes a goal for what you want to achieve.
Input: something is wrong or something could be improved. Output: a clear definition of the opportunity and a goal for fixing it.
aka What are some ways to solve the problem? The goal is to create a list of possible solutions to choose from. The harder the problem, the more solutions you may need.
Input: a goal; research of the problem and possible solutions; imagination. Output: pick-list of possible solutions that would achieve the stated goal.
aka What are you going to do? The ideal solution is effective (it will meet the goal), efficient (is affordable), and has the fewest side effects (limited consequences from implementation).
Input: pick-list of possible solutions; decision-making criteria. Output: decision of what solution you will implement.
aka What are you doing? The implementation of a solution requires planning and execution. It’s often iterative, where the focus should be on short implementation cycles with testing and feedback, not trying to get it “perfect” the first time.
Input: decision; planning; hard work. Output: resolution to the problem.
aka What did you do? To know you successfully solved the problem, it’s important to review what worked, what didn’t and what impact the solution had. It also helps you improve long-term problem solving skills and keeps you from re-inventing the wheel.
Input: resolutions; results of the implementation. Output: insights; case-studies; bullets on your resume.
Once you understand the five steps of problem solving, you can build your skill level in each one. Often we’re naturally good at a couple of the phases and not as naturally good at others. Some people are great at generating ideas but struggle implementing them. Other people have great execution skills but can’t make decisions on which solutions to use. Knowing the different problem solving steps allows you to work on your weak areas, or team-up with someone who’s strengths complement yours.

Whether you run a business, manage a team, or work in an industry where change is the norm, it may feel like something is always going wrong. Thankfully, becoming proficient in the problem solving process can alleviate a great deal of the stress that business issues can create.
Understanding the right way to solve problems not only takes the guesswork out of how to deal with difficult, unexpected, or complex situations, it can lead to more effective long-term solutions.
In this article, we’ll walk you through the 5 steps of problem solving, and help you explore a few examples of problem solving scenarios where you can see the problem solving process in action before putting it to work.
When something isn’t working, it’s important to understand what’s at the root of the problem so you can fix it and prevent it from happening again. That’s why resolving difficult or complex issues works best when you apply proven business problem solving tools and techniques – from soft skills, to software.
The problem solving process typically includes:
While skills like active listening, collaboration, and leadership play an important role in problem solving, tools like visual mapping software make it easier to define and share problem solving objectives, play out various solutions, and even put the best fit to work.
Before you can take your first step toward solving a problem, you need to have a clear idea of what the issue is and the outcome you want to achieve by resolving it.
For example, if your company currently manufactures 50 widgets a day, but you’ve started processing orders for 75 widgets a day, you could simply say you have a production deficit.
However, the problem solving process will prove far more valuable if you define the start and end point by clarifying that production is running short by 25 widgets a day, and you need to increase daily production by 50%.
Once you know where you’re at and where you need to end up, these five steps will take you from Point A to Point B:
In practice, you might not hit a home-run with every solution you execute. But the beauty of a repeatable process like problem solving is that you can carry out steps 4 and 5 again by drawing from the brainstorm options you documented during step 2.
The best way to get a sense of how the problem solving process works before you try it for yourself is to work through some simple scenarios.
Here are three examples of how you can apply business problem solving techniques to common workplace challenges.
Building on our original manufacturing example, you determine that your company is consistently short producing 25 widgets a day and needs to increase daily production by 50%.
Since you’d like to gather data and input from both your manufacturing and sales order departments, you schedule a brainstorming session to discover the root cause of the shortage.
After examining four key production areas – machines, materials, methods, and management – you determine the cause of the problem: the material used to manufacture your widgets can only be fed into your equipment once the machinery warms up to a specific temperature for the day.
Your team comes up with three possible solutions.
After weighing the expense of the first two solutions, and conducting some online research, you decide that switching to a comparable but less expensive material that can be worked at a lower temperature is your best option.
You implement your plan, monitor your widget quality and output over the following week, and declare your solution a success when daily production increases by 100%.
Business training is booming and you’ve had to onboard new staff over the past month. Now you learn that several clients have expressed concern about the quality of your recent training sessions.
After speaking with both clients and staff, you discover there are actually two distinct factors contributing to your quality problem:
You could look for a new conference room or re-schedule upcoming training sessions until after your new equipment arrives. But your team collaboratively determines that the best way to mitigate both issues at once is by temporarily renting the high-quality sound and visual system they need.
Using benchmarks that include several weeks of feedback from session attendees, and random session spot-checks you conduct personally, you conclude the solution has worked.
You’ve invested heavily in product marketing, but still can’t meet your sales goals. Specifically, you missed your revenue target by 30% last year and would like to meet that same target this year.
After collecting and examining reams of information from your sales and accounting departments, you sit down with your marketing team to figure out what’s hindering your success in the marketplace.
Determining that your product isn’t competitively priced, you map out two viable solutions.
Since you’re in a hurry for results, you decide to immediately reduce the price of your product and market it accordingly.
When revenue figures for the following quarter show sales have declined even further – and marketing surveys show potential customers are doubting the quality of your product – you revert back to your original pricing, revisit your problem solving process, and implement the market analysis solution instead.
With the valuable information you gain, you finally arrive at just the right product price for your target market and sales begin to pick up. Although you miss your revenue target again this year, you meet it by the second quarter of the following year.

One of the most common pitfalls we see in the business world is when organizations exclusively work with people who think like they do. While at first glance, this could seem like it would help the organization become more unified, in the long run, it can actually do more harm than good.
Instead, you should seek to work with people who think differently from you. By bringing in people with unique perspectives and backgrounds, you can unlock a host of valuable benefits that will serve you well in both the short- and long-term.

Research has consistently shown that diverse teams are more innovative . By introducing alternative viewpoints, everyone on the team is forced to consider a broader range of views and perspectives, which can help them recognize challenges and opportunities that might otherwise have been overlooked. In addition to innovation factors linked to race and gender, research from Deloitte also indicates that neurodiversity can drive innovation thanks to different cognitive approaches, deep focus and resilience.
I recently had the opportunity to discuss this with Millicent Clarke , an author, HR executive and diversity advocate. She explained, “Working with people who have diverse backgrounds and experiences gives organizations a clearer understanding of the customers they are trying to reach. The population at large is hardly a monolithic group. Working with people who think differently can be key to understanding the innovations and changes that need to be made to reach a broader audience. If you only approach the problem from your own perspective, you’ll overlook the things that can have the greatest impact on others.”
At first glance, one might assume that a team who all thinks and behaves the same would reach decisions the fastest — but this isn’t necessarily the case. In fact, a study from People Management found that diverse teams actually made decisions 60% faster than non-diverse teams. Even more importantly, these teams were more likely to make the right decisions for the given challenge they were trying to address.
Working with people who think differently can help speed up the decision-making process because it gives decision-makers instant access to diverse opinions. While a homogenous group might struggle to identify potential pros and cons associated with a decision, a more diverse group is better equipped to evaluate these factors thanks to their varied backgrounds.
With the ability to quickly assess a potential solution from a broad range of perspectives, organizations can move forward with confidence.
Diverse groups ultimately develop better problem-solving capabilities. One study from the Harvard Business Review found that teams solved problems faster and more effectively when they were more cognitively diverse in terms of knowledge processing and perspective.
University of Michigan professor Scott Page explains that as tasks become more complex, the need for a diverse group becomes more valuable in problem-solving. He argues that with very complex problems, no one gets the solution completely right, and a diverse group ensures that people are “getting it wrong in different ways” to then account for the full scope of the problem in a way that helps teams find the best solution.
Perhaps one of the most valuable reasons you should seek to work with people who think differently is that it can help with your own growth and development. An article from Maryvalle University highlights the experience a Master of Science in Nursing student had simply by being exposed to other students with different nursing backgrounds than her own:
“I remember one of my group-mates worked at a dialysis center, and I really learned a lot about dialysis and how the whole system works. I had not been exposed to dialysis before. Another one of my group members did palliative care, and I had not really been exposed to palliative care or hospice before that. I came from a very niche background, and it opened up my eyes [to the fact] that there are other things out there.”
As this example reveals, working with people who think differently can help you learn about new areas you might not have considered in the past. It can help you build empathy with those you work with (and try to reach in your business). It can reduce bias and make you more open-minded. All of these can contribute to your own personal growth and help you become a more well-rounded individual.
Finding people who think differently from you can provide a wide range of benefits that will drive your business growth. These diverse perspectives could come from people with different ethnic or socioeconomic backgrounds than you, or they could come from people with different work experiences (including working in a different industry than you).
As you work with a more diverse group of people and broaden your own perspective, your team’s creative capabilities and productivity will increase like never before.

When considering equipment failures, it’s important to note that they typically don’t just happen out of the blue. Whether they seem sudden, gradual or intermittent, there’s often an underlying issue — one that can be traced back to a specific root cause. Understanding and addressing these root causes is key to the problem-solving process and to preventing future equipment failures.
Take this real-world scenario: A manufacturing plant faced frequent shutdowns because of a conveyor belt failure. At first, it seemed like the belts were wearing out prematurely. The immediate fix was to simply replace the belts, but the problem kept happening. After looking into the issue deeper, the problem was traced back to improper alignment of the conveyor system. The slight misalignment caused uneven wear on the belts, leading to their early deterioration.
By addressing the root cause of the problem, the plant’s maintenance team not only fixed the recurring issue but also extended the life of the equipment — saving the company both time and money.
Failures can happen across a wide range of equipment types. Whether powered, mechanical or non-mechanical, each type of equipment presents unique challenges in diagnosing and preventing failures in the first place. Consider these types:
Each of these equipment types have their own set of risks and failure modes. Proactive maintenance , proper usage and routine inspections are key to preventing unexpected breakdowns and prolonging the life of your equipment.
Failures in equipment can manifest in different ways, ranging from complete breakdowns to partial malfunctions. Understanding these two types of failure is crucial for effective troubleshooting and maintenance.
Both complete and partial failures can disrupt operations, but they require different approaches. Routine maintenance and monitoring can often catch partial failures early, preventing them from escalating into more serious issues that require immediate corrective actions.

The problem: As equipment ages, wear and tear naturally accumulate. Mechanical parts can degrade over time, leading to increased friction, metal fatigue and reduced performance. Similarly, excessive or prolonged use of equipment beyond its designed limitation can accelerate degradation. Equipment that has exceeded its operational lifespan can also become inefficient and more costly to maintain.
The solution: Implementing a proactive maintenance strategy is key to extending equipment life. Regularly scheduled preventive maintenance ensures components are inspected, lubricated and replaced as needed before failure occurs. Conducting predictive maintenance using condition-monitoring technology (i.e., vibration analysis or thermal imaging) can identify early signs of wear, allowing for timely repairs. The problem: Improper operation can occur when equipment is used outside its intended parameters or by inadequately trained team members. Overloading, incorrect settings or using the wrong tools can lead to accelerated wear, mechanical stress or sudden failure. Operators unfamiliar with the machinery can unintentionally misuse or neglect important operating protocols, leading to unsafe conditions or damage to the equipment. In a lot of cases, equipment failure from improper operation results in costly repairs and avoidable downtime.
The solution: Providing comprehensive training to operators is critical in preventing improper usage. You should establish clear standard operating procedures that include best practices for load limits, operating conditions and emergency protocols. Regular refresher courses will ensure all staff stays up to date on correct equipment use. Additionally, posting visual guides or operating manuals near the machinery can serve as a quick reference for operators, minimizing errors. Monitoring usage patterns can also help identify improper handling before damage occurs.
The problem: The absence of a structured maintenance plan can lead to severe equipment failure. Without regular inspections, servicing and maintenance schedules, small issues can go unnoticed and develop into significant problems over time. This reactive approach often results in unexpected breakdowns, costly repairs and extended downtime, impacting productivity and safety. Equipment that lacks a maintenance plan is more likely to fail prematurely, increasing operational costs and reducing asset lifespan.
The solution: Establishing a comprehensive maintenance plan is the most effective solution for prolonging equipment life and ensuring reliability. You can start by identifying your most critical equipment that requires regular maintenance. Create a schedule for preventive maintenance tasks, including inspections, lubrication and parts replacement, based on manufacturer recommendations. Implement a computerized maintenance management system ( CMMS ) to track work orders , schedule tasks and document maintenance history. That’s a question consumers will face when confronted with the growing number of tech products that claim they can track sleep and offer bespoke advice on getting quality rest.
The latest sleep-tracking gadget, the fourth-generation Oura Ring , which was released this week, is a $350 miniature computer worn around the finger like a piece of jewelry. The inside of the ring comes embedded with tiny sensors that collect data on vitals like heart rate, body temperature and movement, in an effort to track a wearer’s sleep patterns and pinpoint issues that may cause poor rest.
The new Oura Ring is releasing at a time when Americans are increasingly prioritizing sleep , fueling a multibillion-dollar industry dedicated to quality slumber, including snore-detecting mattresses, sunrise-simulating alarm clocks and cool-air fans for beds.
The Oura Ring also doubles as a fitness tracker that counts footsteps and activities like rock climbing, boxing and soccer, putting it in direct competition with exercise gadgets from companies like Apple, Fitbit and Garmin.
Two years ago, I tested the previous Oura Ring 3 and panned it because I found some of its health data to be dubious. Yet the ring has since amassed a cult following, surpassing 2.5 million in sales, according to Oura Health, the Finnish start-up behind the ring. The new version has been redesigned to look slimmer, and its sensors have been improved for more accurate sleep tracking. So I decided to give the Oura Ring 4 a try.
Oura Labs not only wants you to buy a ring, which can cost up to $500 depending on the color you choose, it also wants you to pay $6 a month for detailed sleep analysis and other services. Over time, the ring will become a fairly exorbitant purchase .
